CEO Office Lead / Executive Assistant to the Board (all genders)

We are looking for a highly organised and proactive CEO Office Lead / Executive Assistant (all genders) to support our CEO in a dynamic, international environment. This is a unique role that combines strategic support with operational ownership – and requires excellent German language skills, as you will work closely with our leadership team in Germany.
You'll be part of our growing team in Malaysia, collaborating daily with colleagues across Pfaffenhofen, Braunschweig, Hamburg and Kuala Lumpur. Working hours are typically aligned with Central European Time (08:00–17:00 CET), with flexibility to ensure team collaboration.
PLEASE NOTE: We are only able to consider applications from candidates who hold Malaysian citizenship and reside in Malaysia, and who are fluent in both German and English.
Your Role
As CEO Office Lead / Executive Assistant, you will:
- Proactively support and effectively relieve the CEO in day-to-day and strategic matters
- Own the CEO Office with full responsibility for administrative and organizational coordination
- Prepare and follow up on meetings, workshops, events and board sessions
- Draft minutes, presentations, statistics, reports and other project-related documents
- Manage the CEO's calendar, with a particular focus on sales-related appointments
- Coordinate travel planning, information management and stakeholder contacts
- Research and compile content for presentations, speeches and events
- Serve as the communicative interface between the CEO and internal and external stakeholders
- Represent the company in external communications and maintain confidentiality at all times
What You Bring
- Completed degree or commercial qualification
- At least 3 years of experience as an executive assistant or assistant to senior management, ideally in a consulting or tech-adjacent environment
- Confidence and professionalism at C-level
- Strong communication and organizational skills, quick comprehension
- Absolute reliability and a self-driven, service-oriented working style
- High flexibility and resilience in a fast-paced international environment
- Proficient in PowerPoint, Excel and other Office tools; a flair for visualization is a plus
- Fluent German (near-native level) and excellent English – both are essential for this role
