Job Description

Job Summary

We are seeking a dedicated and experienced chief admin to oversee the administrative and accounting functions of our plantation operations in Pagoh, Johor. The successful candidate will support the estate manager in ensuring efficient office administration, accurate financial records, statutory compliance, and effective coordination of office staff to support daily estate operations.

Key Responsibilities
  • Provide administrative support to the estate manager in daily operational matters.
  • Maintain and organize office filing systems, records, and confidential documents.
  • Manage and monitor permits, licenses, insurance, and regulatory compliance requirements.
  • Coordinate foreign worker documentation, permit renewals, and related administrative matters.
  • Prepare reports, correspondence, and other administrative documentation as required.
  • Liaise with government authorities, headquarters, suppliers, and external parties when necessary.
  • Perform accurate data entry of invoices, receipts, payments, and petty cash transactions.
  • Maintain proper documentation and records of all financial transactions.
  • Monitor accounts payable and ensure timely processing of payments.
  • Reconcile bank statements and financial records regularly.
  • Compile and submit accounting documents and supporting schedules to headquarters within stipulated timelines.
  • Assist in the preparation and submission of statutory returns and compliance-related documentation.
  • Supervise and coordinate the daily activities of estate office staff.
  • Monitor work performance and ensure tasks are completed accurately and efficiently.
  • Promote teamwork, discipline, and compliance with company policies and procedures.
  • Assist in training and guiding administrative staff when required.
Job Requirements
  • Diploma in Accounting, Business Administration, or a related field.
  • Minimum 5 years of relevant working experience in administration and accounting functions.
  • Experience in plantation or estate administration will be an added advantage.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Knowledge of accounting systems and estate management software will be an added advantage.
  • Good command of Bahasa Malaysia and English, both written and spoken.
  • Strong organizational, communication, and supervisory skills.
  • High level of integrity, accuracy, and attention to detail.
  • Able to work independently with minimal supervision.
  • Capable of handling multiple tasks and meeting deadlines in a fast-paced environment.
  • Willing to be based in Pagoh, Johor.
