Job Description

Community Associate (Front Desk) OPIS Co-Working Space, Taman Desa

We're looking for a friendly and driven Community Associate to be the face of our coworking space. You'll manage the front desk, assist members, handle daily operations, and support tours & sales.

Key Responsibilities

1. Front Desk & Reception

  • Welcome members, guests, and walk-ins with professionalism.
  • Manage check-ins, visitor registrations, calls, WhatsApp enquiries, and emails.
  • Keep the reception area clean, organised, and welcoming.

2. Member Relations & Community Support

  • Build positive relationships with members.
  • Assist with printing, meeting room bookings, mail handling, and workspace issues.
  • Support community events, workshops, and networking activities.
  • Ensure members follow house rules and centre guidelines.

3. Workspace Operations

  • Ensure common areas, meeting rooms, and offices are clean and ready for use.
  • Perform daily checks on WiFi, printer, coffee/tea station, air-conditioning, pantry, and supplies.
  • Coordinate with cleaners, vendors, and maintenance teams.
  • Handle mail and packages according to policy.

4. Sales Support & Tours

  • Attend to enquiries and introduce membership plans.
  • Conduct professional tours highlighting OPIS Coworking Space facilities and benefits.
  • Assist with quotes, proposals, and follow-ups via WhatsApp/email.
  • Support new member onboarding: activation, access cards, system setup, orientation.

5. Admin & System Tasks

  • Manage sign-ups, renewals, and membership documentation.
  • Update member info and usage in coworking software.
  • Prepare daily/weekly reports (walk-ins, leads, occupancy, issues).
  • Support billing checks, meeting room credits, and entitlements.

Job Requirements

  • 12 years of experience in customer service, hospitality, reception, or coworking (preferred).
  • Strong communication skills; friendly, professional, and confident.
  • Fluent in English & Mandarin.
  • Organised, detail-oriented, and able to multitask.
  • Tech-savvy: WhatsApp, Google Workspace, coworking systems, basic IT support.
  • Positive attitude, proactive mindset, and passion for helping people.
