Role Description

This is a full-time, on-site role for a Company Secretary on a short-term 6-month contract, based in the Petaling Jaya, Malaysia. The role involves in support the Head of Company Secretary in ensuring smooth coordination of board activities, regulatory compliance, and shareholder engagements. This is a great opportunity for candidates who are detail-oriented and keen to build experience in corporate secretarial work.

Key Responsibilities

  • Support coordination of Board & Committee meetings (scheduling, logistics, meeting packs, minutes)
  • Assist in maintaining statutory registers, corporate records, and documentation
  • Support regulatory filings with SSM and ensure timely submission
  • Assist in planning and execution of AGM / EGM, including documentation, coordination, and post-meeting follow-ups
  • Coordinate with internal and external stakeholders (e.g. auditors, share registrar, regulators)
  • Provide general administrative and ad-hoc support to the Company Secretarial function

Qualifications

  • Diploma / Degree in Corporate Administration, Law, Business Administration or related field
  • 1–3 years of experience in company secretarial / legal admin / corporate support (fresh grads with relevant internship are encouraged to apply)
  • Basic knowledge of Malaysia Companies Act 2016 is an advantage
  • Strong attention to detail, organization, and communication skills
  • Ability to multitask and work in a fast-paced environment
