Confidential Secretary
We are seeking a highly experienced and discreet Confidential Secretary to provide comprehensive administrative and secretarial support to the Club Secretary and Disciplinary Board. This role requires strong judgement, exceptional communication skills, and the ability to manage sensitive matters with the highest level of professionalism and confidentiality.
Role Description
This is a full-time, on-site role based in WP. Kuala Lumpur. The Confidential Secretary will be responsible for managing all administrative and secretarial functions for the Club Secretary and relevant Committees, including the Disciplinary Board. The role involves close interaction with senior management, committee members, external stakeholders, and government bodies.
Key Responsibilities include:
- Providing full administrative and executive support to the Club Secretary and Disciplinary Board
- Preparing, drafting, and editing all forms of correspondence, reports, notices, and official communications
- Managing confidential documents, disciplinary records, and sensitive information with strict discretion
- Coordinating meetings, agendas, board papers, and preparing accurate minutes of meetings
- Liaising with government bodies, regulatory authorities, legal advisors, and external stakeholders
- Maintaining proper filing systems, statutory records, and documentation
- Managing calendars, appointments, and follow-ups for senior stakeholders
- Handling ad-hoc administrative and secretarial duties as required
Qualifications & Experience Required:
- Diploma or Degree in Business Administration, Secretarial Studies, or a related field
- Minimum 5 years of relevant and proven experience in senior administrative / confidential secretary roles
- Strong experience in company secretarial, disciplinary, or governance-related work
- Excellent written and verbal communication skills, with the ability to draft professional correspondence independently
- Proven experience dealing with government bodies, authorities, and official institutions
- High level of integrity, discretion, and professionalism in handling confidential matters
- Strong organizational skills, attention to detail, and ability to manage multiple priorities
- Proficient in Microsoft Office and related administrative tools
- Ability to work independently, take initiative, and support senior management effectively
