Overview

As the Contract & PO Management Manager, you will oversee the full lifecycle of our contracts and purchase orders (POs). You'll ensure all procurement activities follow company policies and financial standards. This role involves leading a team, driving process improvements, and acting as the main point of contact between our Procurement, Legal, Finance, and business teams.

You will report to the Manager - Operational Management.

Key Responsibilities and Accountabilities
Functional (job responsibilities)

  • Develop and maintain robust contract management policies, procedures, and systems.

  • Oversee the drafting, review, negotiation, and execution of various contracts, including vendor agreements, Non-Disclosure Agreements (NDAs), and Statements of Work (SOWs).

  • Ensure compliance with all contractual terms and legal requirements manage the contract repository and proactively track key dates for renewals or terminations.

  • Manage the end-to-end PO lifecycle, ensuring timely and accurate creation, approval, and distribution.

  • Develop and enforce policies for PO creation and closure to maintain proper financial controls and spend visibility.

  • Audit PO submissions for compliance with approved budgets and coordinate with Accounts Payable to reconcile POs and resolve discrepancies.

  • Lead, mentor, and train the Contract and PO Management tea

  • Drive continuous improvement initiatives for contract and PO processes, leveraging technology and best practices.

  • Develop and track Key Performance Indicators (KPIs) and generate reports for management on contract status and operational performance.

Jobholder Requirements

  • Malaysian citizen.

Education/Qualification

  • Bachelor's degree in Business Administration, Finance, Supply Chain Management, or a related field. A professional certification such as CPCM or CPSM is highly preferred.

Experience/Requirements

  • 5-7 years of experience in contract administration, procurement, or a related legal/financial role.

  • 2-3 years of proven experience in a management or supervisory position.

  • Demonstrated experience working with Contract Lifecycle Management (CLM) and Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle, Ariba).

  • Strong understanding of legal principles, contract law, and procurement best practices.

  • Strong negotiation, communication, and analytical skills.

  • High proficiency in Microsoft Office Suite, especially Excel.
