Brief overview:
Reporting to the Contracts and Compliance Manager, this role supports key operational functions across compliance, onboarding, legal, mobilization, and benefits administration. It requires a detail-oriented individual capable of managing multiple priorities in a fast-paced environment.
Duties and Responsibilities
Compliance & Quality Control
- Conduct quality checks on new placements in the internal Applicant Tracking System (ATS).
- Ensure accurate data entry in the ATS to facilitate seamless integration with the finance database for timely payments.
- Maintain and update the Pending Placement Report daily.
- Verify right-to-work documentation for all individuals placed by Spencer Ogden.
- Ensure all required compliance documentation is accurately maintained in the ATS.
- Assist with workers compensation reporting and data storage.
- Review support and confirm approval of change requests in the ATS.
- Coordinate with brokers to obtain certificates of insurance as requested by clients.
- Maintain records in the compliance system to meet client requirements for approved vendor grading.
Onboarding & Offboarding
- Validate data entered into the ATS by Sales Consultants against onboarding documentation.
- Distribute pre-assignment screenings based on location and client requirements.
- Monitor the onboarding tracker to ensure all documentation is received prior to start dates.
- Distribute termination documentation for offboarding contractors.
- Collaborate with consultants to schedule candidates for client-specific training sessions.
Mobilization
- Arrange transportation for contractors
- Distribute travel policies to contractor travelers and organize travel reservations by employee and time frame.
Legal
- Submit client risk alerts through the legal system and notify relevant parties for approval.
- Review and revise terms of business in accordance with the legal matrix.
- Draft addendums and new terms of business for new clients.
Benefits Administration
- Assist with managing contractor benefit enrollments, including terminations and changes in family status.
- Provide support to contractors regarding benefit-related inquiries and issues.
- Collaborate with the payroll department to resolve financial discrepancies caused by provider system errors.
- Work with benefit providers to correct system issues.
- Confirm enrollment of eligible employees in company-paid ancillary benefits.
Requirements
