We have an exciting opportunity for you to join our team at various level as Company Secretary where the roles are based in Kuala Lumpur, Malaysia. This full-time and permanent position offers regional coverage, allowing you to make a significant impact to our Corporate Secretarial department and its growth.

Key responsibilities:

  • Execute and handle a full range of corporate secretarial tasks, services and matters for international clients, including company incorporation in different jurisdictions in the Vistra corporate secretarial systems such as the View Point (VP) and/or other Vistra authorized designated systems.
  • Execute statutory compliance duties, including preparing prescribed returns and forms for filing, updating and maintenance of corporate secretarial files and records. Provide administrative support to Business Unit (BU) team such as data entry, data updating, data storing and filing as well as other administrative duties in the VP.
  • Properly update all client documents/records in the statutory files and records with proper housekeeping in designated clients document folders/files in the VP.
  • Acknowledge receipt of client's requests/queries/correspondences within 1 business day and follow-up for information and/or source documents within 2 business days.
  • Apply best practices in corporate governance and compliance along with statutory/regulatory requirements.
  • Assist / Perform any other tasks as and when assigned by the Superiors and/or the Management.
  • Strictly adhere to internal policies and Standard Operating Procedures.

Key requirements:

  • Possess good communications, analytical and problem-solving skills.
  • Good command of both spoken and written English. Proficiency in Mandarin is an advantage.
  • Familiar with Companies Acts and filings of statutory forms.
  • Computer literate in MS Office.
  • Able to work independently and is a good team player.
  • Good interpersonal skills and ability to work well with team members.
  • Able to work under pressure and meet submission deadlines with minimal supervision and guidance.
  • Able to identify and demonstrate clear comprehension of clients and organizational needs.
  • Confident in facing issues and/or resolving issues/challenges.
  • Good time management.
  • 1 - 5 years of relevant working experience would be an advantage.
  • Basic knowledge of listing rules and local governance and practices would be an advantage.
  • Experience with ViewPoint 7.4 preferred.
  • Bachelor's Degree in related discipline e.g. Corporate Administration, Corporate Governance, Business Administration, etc.
  • Part ICSA qualification / Graduate of ICSA preferred.
