Job Description

JOB SUMMARY

The Operations Assistant (Customs Brokerage) is responsible for preparing customs documentation and ensuring shipments comply with all applicable laws and regulations to facilitate the import and export of goods.

The role includes determining and tracking duties and taxes payable, processing payments on behalf of clients, and representing clients in dealings with customs authorities. The incumbent will also support tariff classification, duty refunds, and maintenance of import/export transaction records for submission to the Royal Malaysian Customs Department.

Daily responsibilities include submitting clearance forms for approval (examination and endorsement), handling customs stock movement, and preparing monthly and yearly regulatory reports.

KEY RESPONSIBILITIES

  • Prepare and compile import/export documentation (e.g. customs invoices, certificates of origin, cargo control documents)
  • Classify goods according to the Harmonized System (HS) tariff coding
  • Calculate applicable duties, taxes, and related charges for shipments
  • Quote duty and tax rates based on customs tariffs and excise regulations
  • Process or arrange payment of duties and taxes on shipments
  • Submit clearance documents for customs examination and endorsement
  • Assist in duty drawback applications, tariff concessions, and refund processes
  • Advise clients on import/export regulations, restrictions, quotas, insurance requirements, and customs procedures
  • Maintain relationships with customs brokers and stakeholders across ports to facilitate cargo clearance
  • Prepare and submit monthly and yearly customs reports, including warehouse license renewal and bank guarantee documentation
  • Coordinate with external auditors for annual customs compliance audits and reporting
  • Maintain accurate records of all import/export transactions

 

 

REQUIREMENTS

 

Education & Experience

  • Minimum SPM or equivalent
  • OR at least 3-5 years of experience in logistics, preferably in customs brokerage
  • Familiarity with Malaysian Customs procedures is an advantage
  • Proficient in Microsoft Office (Word, Excel, Outlook)

  • Ability to work in a fast-paced and deadline-driven environment
  • High attention to detail and accuracy
  • Strong computer literacy, including reporting and data management
  • Service-oriented mindset with willingness to support stakeholders

 

Soft Skills

  • Strong interpersonal and communication skills
  • Able to work independently with minimal supervision
  • Fluent in English and Bahasa Malaysia (spoken and written)
  • Analytical thinking with ability to solve complex operational issues
