Job Description

Role Purpose

Finance Business and Technology (FBT) is bp's shared services organisation driving business solutions through standardising and simplification while maintaining a strong and effective control environment. The Data Operations team within FBT is accountable for the stewardship of a significant proportion of bp's commercial and financial master data across the Finance, Procurement, and Customer functions.

The Data Operations Analyst is accountable for implementing master data operations across Business Units ensuring

Compliance with governance standards, Service Level Agreements (SLA), and internal controls. The role proactively manages data quality, operational risk, and collaborator expectations to support operational excellence and compliance. In addition, the role delivers a key fraud prevention control by performing independent call‑back validations for vendor and customer data changes, supported by structured case review, external verification, system validation, and timely issue of risks and exceptions.

Key Responsibilities

  • Accountable for accurate, complete and timely end-to-end master data lifecycle maintenance of vendor, customer, material, pricing and finance master in accordance with master data standards, governance policies and Service Level Agreements (SLA) across relevant systems.
  • Proactive tracking, analysis and resolving outstanding operational issues or delays, ensuring risks to business operations, reporting, or compliance are identified early. Take accountability for driving outcomes independently, raising critical issues with proposed remediate actions to the management.
  • Ensure that all supplier or customer information research and searches are completed and clearly documented.
  • Implement telephone calls to representatives in a variety of organisations across the globe and at all levels of seniority in accordance with standard scripts, control procedures and validation checklists.
  • Complete and track follow‑up checks via email and finance systems, ensuring a clear, complete, and auditable trail is maintained to evidence that proper due diligence has been performed at all stages of the case.
  • Support business continuity plan activities by ensuring continuity of critical data operations and cross‑location coverage as required.
  • Generate data reports for benchmark reporting as well as to evaluate key quality metrics including completeness, consistency, accuracy and control measures in preventing unauthorised changes.
  • Act as a Subject Matter Expert (SME) to drive digitization and continuous improvements in data management and callback processes, enhancing operational efficiency, effectiveness and control.
  • Support project and transformation initiatives, including business requirement definition, data enrichment and cleansing activities.
  • Build strong relationship with the data user network and ensure they have a thorough understanding of the data management change request process.
  • Maintain and review process documentation, work instructions and procedures to ensure they remain current and aligned with operational changes, system enhancements, and governance requirements.
  • Support internal and external audit queries and manage ad-hoc or administrative activities as required.

Processes For Which Accountable

  • Individual will manage own workload responsibly, and partner with the work allocator to ensure continuity of operations during planned and unplanned absences.
  • This role is external facing so individual needs to represent bp in a professional manner at all times.
  • The role is part of the wider data team and will be included in wider data team activities

Key Challenges

Key challenges for the Data Operations Analyst are to ensure that robust controls processes in this area are followed at all times. A number of the update requests that are actioned within the team are related to overdue or urgent requests for payment due to oversights by requestors. It is important that the post holder ensures that FBT Data Operations processes are performed according to the standards set, regardless of any time pressures imposed by requestors.

In calls some vendors or customers may be challenging and reluctant to provide the information requested so the ability to establish rapport and to communicate clearly is important. Having excellent verbal customer service skills is paramount in this position due to the high volume of phone calls required to implement banking validations.

Qualification & Experience And Competencies

Essential Education and Experience

  • Degree or equivalent experience in Management, Business, Finance, Accounting, or related field.
  • Experience in a client-service oriented function with experience in procurement, supply chain, data management, customer services or Finance.
  • Sound experience using SAP or JDE, MDG, Salesforce and Power BI are strongly preferred.
  • Proficient in Microsoft Excel and other MS Office application.
  • Confident on the phone, able to quickly build rapport with external collaborators.
  • Strong professional fluency in English (written and spoken) is required for both locations, with additional fluency in German for Szeged‑based role or Mandarin for Kuala Lumpur‑based role.
  • Flexible and able to work shift (half UK shift), as required for Kuala Lumpur based roles only.
  • Experience of working cross culturally and international business environment.
  • Ability to communicate effectively with a wide range of stakeholders, both verbally and in writing.
  • Engaging and collaborative team player with an inclusive, cooperative, and supportive approach to working with others.
  • Resilience and ability to operate effectively in a fast‑paced and dynamic environment while maintaining control, focus, and quality standards.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively, even under pressure.
