TVSM Singapore and Strategy Team Overview:

The TVSM Singapore office (TVSM SG) is the international business and strategic planning hub of TVS Motor Company, and plays a critical role in shaping and delivering on the company's global ambitions and international growth strategy. Operating under the leadership of the Chairman and Managing Director of TVS Group based in Singapore, TVSM SG houses the Strategy, Corporate Planning, and functional teams that support TVS Motor's international businesses.

Position Overview:

The Deputy Manager - HR & Office Administration supports the HR and Office Administration function by ensuring the effective execution of people and workplace-related processes across TVS Motor Singapore entities. The role is responsible for coordinating and overseeing daily HR and administrative activities, providing guidance to the HR and Office Administration team, and ensuring high standards of service delivery, compliance, and operational excellence.

As a trusted partner to the Singapore HR Head, the incumbent serves as a key point of support in translating HR priorities into effective day-to-day execution while fostering a responsive, employee-centric workplace environment.

Key Responsibilities:

  1. HR Operations

  • Oversee and manage end-to-end HR operations across the employee lifecycle, including onboarding, confirmation, transfers, promotions, employee changes, and offboarding.

  • Ensure accurate and timely administration of employment contracts, HR documentation, employee records, and personnel files.

  • Monitor and ensure compliance with Singapore employment legislation, MOM regulations, company policies, and internal governance requirements.

  • Review HR transactions and documentation prepared by the HR team to ensure accuracy and completeness.

  • Serve as the first escalation point for operational HR matters and employee enquiries.

  • Drive continuous improvement and standardization of HR processes and procedures.

  • Ensure proper maintenance and utilization of HR systems and employee databases.

  1. Employee Benefits & HR Administration

  • Administer employee benefits programs including insurance, wellness initiatives, leave management, and employee assistance programs.

  • Ensure accurate reporting and reconciliation of HR-related data and records.

  • Support annual compensation review, bonus administration, and employee communication processes.

  1. Immigration & Mobility

  • Oversee work pass administration, including EP, SPass, DP, and related immigration matters.

  • Coordinate relocation, onboarding, and mobility support for expatriate employees and their families.

  • Ensure timely renewals, regulatory compliance, and accurate documentation for all immigration-related matters.

  1. Employee Relations & Employee Experience

  • Support employee engagement, wellness, recognition, and employee experience initiatives.

  • Provide guidance to employees and managers on HR policies, procedures, and employee relations matters.

  • Assist in managing disciplinary matters, grievances, performance concerns, and workplace investigations where required.

  • Foster a positive employee experience through responsive HR service delivery.

  1. Office Administration & Facilities Management

  • Lead the Office Administration team in ensuring smooth day-to-day office operations.

  • Oversee facilities management, office maintenance, workplace services, and vendor performance.

  • Manage office budgets, procurement activities, and administrative contracts.

  • Ensure office health, safety, security, and business continuity requirements are maintained.

  • Oversee travel administration, visitor management, executive support coordination, and workplace services.

  • Ensure efficient management of office assets, inventory, and administrative resources.

  1. Team Leadership & People Management

  • Provide daily supervision, coaching, and guidance to HR Executives, Office Administrators, and support staff.

  • Allocate work, monitor deliverables, and ensure service standards are met.

  • Ensure timely completion of operational deliverables.

  1. Governance, Compliance & Reporting

  • Ensure compliance with internal policies including Code of Conduct, Data Privacy, Anti-Bribery & Anti-Corruption, and other governance requirements.

  • Support internal and external audits by maintaining accurate documentation and records.

  1. Projects & Continuous Improvement

  • Support HR and administrative projects, process improvement initiatives, system implementations, and policy enhancements.

  • Support organizational initiatives and business requirements as assigned.

  • Any other work as assigned.

Qualifications Required:

  • Bachelor's Degree in Human Resources, Business Administration, Management, or related discipline.

  • Minimum 6-8 years of progressive HR experience with broad exposure to HR operations and office administration.

  • Experience managing HR and administrative teams in a regional or multinational environment preferred.

  • Strong knowledge of Singapore employment legislation, MOM regulations, payroll administration, and employment practices.

  • Experience handling expatriate administration and immigration matters.

  • Proven ability to manage multiple priorities in a fast-paced environment.
