Job Summary:
We are seeking a highly organized and proactive Divisional Head Executive Assistant with a strong accounting background and a data-driven mindset. This role is essential in providing comprehensive support to the Divisional Head, ensuring efficient operations and effective decision-making through meticulous data analysis and financial oversight. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Provide high-level administrative support to the Divisional Head, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Serve as a liaison between the Divisional Head and internal/external stakeholders.
- Assist in the preparation and analysis of financial reports, budgets, and forecasts.
- Gather, analyze, and interpret data to support strategic decision-making and operational improvements.
- Develop and maintain dashboards and reports to track key performance indicators (KPIs) and departmental metrics.
- Identify trends and provide actionable insights based on data analysis.
- Support the Divisional Head in managing special projects and initiatives, ensuring timely completion and alignment with organizational goals.
- Coordinate cross-functional teams and facilitate communication to ensure project milestones are met.
- Prepare correspondence, reports, and presentations as needed.
- Handle confidential information with discretion and professionalism.
- Identify opportunities for process improvements and implement best practices to enhance operational efficiency.
Qualifications:
- Bachelor's degree in accounting, Finance, Business Administration, or a related field.
- Proven experience as an executive assistant or in a similar role, preferably within a corporate environment.
- Strong accounting knowledge and experience with financial reporting and analysis.
- Proficiency in data analysis tools (e.g., Excel, Power BI, Tableau) and accounting software (e.g., QuickBooks, SAP).
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong analytical and problem-solving skills with a keen attention to detail.
- Exceptional verbal and written communication skills.
