ROLE AND RESPONSIBILITIES
- Monitor and record all out-going/in-coming documents transmittal notes within internal/external parties. (Document includes drawings / calculation / sales contract / approval / MDR/project related documents).
- Communicating in writing with internal / external parties for meeting, documentation or other arrangement.
- Manage emails, transmittal and various project-related documents from clients, suppliers, vendors, contractors and internal sources.
- Assess incoming emails and transmittal, determining their importance and devising a plan of action for distribution, in collaboration with Project Manager or designated project team member.
- Establish and maintain a Master Document Schedule for precise and timely monitoring of project-related documents.
- Proactively track the status of documents and communicate updates to the Project Manager or designated project team member.
- Administer the allocation, creation and supervision of Document Control (DC) folders for all projects.
- Generate a list of overdue documents and follow up with the relevant parties involved.
- Prepare the final documentation in accordance with client specifications upon project completion.
- Execute precise electronic and hard copy filing, ensuring accuracy and easy retrieval in alignment with Standard Operating Procedure (SOP).
- Monitor and record the monthly project document issuance and status.
- Any other ad-hoc projects and duties as required by the immediate superior/HOD.
