Finance & Admin Coordinator Job Description (Ops-Integrated)

Role Overview
The Finance & Admin Coordinator is responsible for managing day-to-day finance, administrative, and HR support functions, while staying closely connected to operations to ensure accuracy and context across the business.
This role is embedded within a small, collaborative team, where understanding tenant movements, space usage, and day-to-day operations is important to maintaining accurate financial and administrative records.
Key ResponsibilitiesFinance (Core Focus)
- Manage transactions, invoicing, billing, collections, and payment tracking
- Maintain financial records, expense tracking, and basic reporting
- Support monthly closing and reconciliation processes
- Ensure accuracy of tenancy billing, renewals, and adjustments
- Liaise with external accountants when required
Admin & HR Support
- Maintain tenancy records, agreements, and documentation
- Support HR administration, including leave tracking, onboarding coordination, and staff records
- Assist with internal documentation and compliance tracking
Operations Coordination (Support Role)
- Stay updated on tenant movements, renewals, and space allocation
- Work closely with the operations team to ensure billing reflects actual usage and changes
- Provide front desk support when required
- Support coordination between operations, facilities, and finance matters
Sales & Administrative Support
- Assist with proposal preparation/documentation and basic sales administration
- Support tracking of tenancies, renewals, and occupancy changes
Work Rhythm
- Finance: Primary focus throughout the week
- HR/Admin: Weekly and ongoing tasks
- Operations Awareness: Daily visibility and coordination
- Front Desk: Support
