Job Description

Adecco's client is seeking a highly organised, proactive, and resourceful Executive Administrative Assistant to support their General Manager and oversee essential office administration, facilities coordination, procurement, and employee welfare functions within a fast-paced manufacturing environment. The ideal candidate is dependable, detail-oriented, and able to handle daily operations efficiently while maintaining professionalism and discretion. Candidates must have prior working experience in the manufacturing industry.

Key Responsibilities

  • Provide secretarial support to the GM, including calendar management, scheduling, meeting coordination, reminders, and correspondence handling
  • Arrange business travel logistics (local and international), including ticketing, accommodation, transport, and related arrangements
  • Handle document processes, including preparation, filing, tracking, and secure delivery of documents, parcels, and company items
  • Oversee office facilities, maintenance, repairs, cleanliness, and vendor coordination for office equipment and services
  • Manage office supplies inventory and procurement, ensuring timely replenishment and cost-effective purchasing
  • Maintain records of company assets and ensure proper usage across departments
  • Support employee welfare initiatives, including organising company events, staff engagement activities, and welfare programs
  • Liaise with internal teams and external stakeholders such as suppliers, service providers, and business contacts
  • Provide administrative support to other departments when required
  • Perform ad-hoc operational and administrative tasks as assigned by management

Requirements

  • 1–3 years of experience in General Affairs, Administration, or related support roles within the manufacturing industry
  • Strong organisational and multitasking abilities with a high level of attention to detail
  • Good communication, coordination, and negotiation skills for internal and external stakeholder management
  • Ability to follow instructions and execute tasks accurately and efficiently
  • Ability to work independently and collaborate effectively as part of a team
  • Adaptable to fast-paced environments, deadlines, and pressure-driven situations
  • Proficient in Microsoft Office, Google Workspace, and communication platforms
