Introduction
We are looking for a proactive and highly organized Executive Assistant / Secretary to provide administrative support to senior management. This role plays a key part in ensuring smooth daily operations, effective scheduling, and efficient communication.
The ideal candidate is detail-oriented, able to multitask, and capable of handling confidential information with professionalism.
Key Responsibilities
- Provide full-spectrum administrative support to senior management / executives
- Manage calendars, schedule meetings, and coordinate appointments
- Arrange travel, accommodation, and itineraries
- Prepare meeting agendas, minutes, and follow-up actions
- Handle correspondence, emails, calls, and document filing
- Maintain confidential records and sensitive information
- Liaise with internal departments and external stakeholders
- Assist in report preparation, presentations, and documentation
- Monitor deadlines and ensure timely task completion
- Support office management and general administrative duties
- Any other duties as assigned by the manager.
Job Requirements
- Bachelor's Degree in Business Administration, Management, or related field
- 2–5 years of experience in an Executive Assistant, Personal Assistant, or Secretarial role (history of working experience in Legal is highly advantageous)
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to work independently and handle confidential matters
- Experience supporting senior management is preferred
