Job Description

Introduction

We are looking for a proactive and highly organized Executive Assistant / Secretary to provide administrative support to senior management. This role plays a key part in ensuring smooth daily operations, effective scheduling, and efficient communication.

The ideal candidate is detail-oriented, able to multitask, and capable of handling confidential information with professionalism.

Key Responsibilities

  • Provide full-spectrum administrative support to senior management / executives
  • Manage calendars, schedule meetings, and coordinate appointments
  • Arrange travel, accommodation, and itineraries
  • Prepare meeting agendas, minutes, and follow-up actions
  • Handle correspondence, emails, calls, and document filing
  • Maintain confidential records and sensitive information
  • Liaise with internal departments and external stakeholders
  • Assist in report preparation, presentations, and documentation
  • Monitor deadlines and ensure timely task completion
  • Support office management and general administrative duties
  • Any other duties as assigned by the manager.

Job Requirements

  • Bachelor's Degree in Business Administration, Management, or related field
  • 2–5 years of experience in an Executive Assistant, Personal Assistant, or Secretarial role (history of working experience in Legal is highly advantageous)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently and handle confidential matters
  • Experience supporting senior management is preferred
