We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This is a full-time position requiring a high level of professionalism, discretion, and attention to detail.
Key Responsibilities
- Manage calendars, schedules, appointments, and meeting arrangements for senior management.
- Coordinate internal and external meetings, attend meetings when required, and prepare accurate meeting notes and minutes.
- Handle administrative coordination, follow up on action items, and ensure deadlines are met.
- Arrange travel itineraries, accommodations, and related logistics.
- Prepare presentations, reports, correspondence, and other business documents.
- Maintain organized records, files, and documentation.
- Process and monitor expense claims and related financial documentation.
- Conduct research, gather information, and track ongoing tasks and projects.
- Support day-to-day office operations and facilitate effective communication with stakeholders.
- Handle confidential and sensitive information with professionalism and discretion.
- Undertake ad-hoc assignments and special projects as required.
Requirements
- Diploma or Degree in Business Administration or a related field, or equivalent professional experience.
- Prior experience in executive support, personal assistance, or administrative roles is an advantage.
- Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills.
- Proactive, resourceful, and detail-oriented with strong problem-solving abilities.
- Ability to work independently while maintaining a high level of accountability.
- Demonstrated professionalism and discretion when handling confidential matters.
- Proficient in Microsoft Office and/or Google Workspace.
- Comfortable learning and using new software and digital tools.
