Job Title: Executive Assistant to ED cum GCFO
Reporting To: Executive Director cum Group Chief Finance Officer (ED cum GCFO)
Key Responsibilities
1. Provide day-to-day administrative support to the ED cum GCFO to ensure the smooth and efficient operation of the ED cum Group CFO's Office.
2. Monitor, track and follow up with respective Heads of Departments (HODs) to ensure the timely submission of reports and other required documents.
3. Proofread, answer, and compose routine correspondence, both handwritten and electronic, prepare selective summaries, and manage follow-up actions.
4. Manage Document Management System (DMS). Monitor, follow up and safeguard
agreements and documents in both digital and hardcopy formats, ensuring proper filing and timely retrieval.
5. Manage office procurement activities, including monitoring office supply levels and
processing purchase requests to ensure the timely availability of office supplies.
6. Collaborate with team members to coordinate meetings, events and administrative activities, ensuring smooth planning and execution.
7. Undertake and carry out special assignments and projects as assigned by the ED cum Group CFO.
8. Perform other duties as required and/or assigned.
Requirements
- Bachelor's Degree in Secretarial Studies ,Business Administration, Office Management, Human Resources or a related discipline.
- At least 3 to 5 years experience in PA, secretarial, administrative, office support role.
- Good organisational and time management skills.
- Ability to coordinate multiple tasks and meet deadlines.
- Proficiency in speaking, reading, and writing English, Malay and Mandarin is required.
- Experience coordinating meetings, preparing minutes and following up on action items.
- Strong problem-solving and follow-up skills.
