Executive Assistant to Group CEO

Role Overview

This role provides high-level executive, administrative, and personal support to the Group CEO, ensuring the seamless operation of the CEO's office and enabling effective leadership across the Group. The position requires discretion, initiative, and the ability to operate in a fast-paced, dynamic environment.

Key Responsibilities:

Executive & Administrative Support

  • Provide comprehensive executive and administrative support to the Group CEO with high level of accuracy and professionalism
  • Manage and optimize the Group CEO's calendar, ensuring effective scheduling, prioritization, and coordination of all internal and external engagements
  • Exercise sound judgment in managing competing priorities, including rescheduling and stakeholder coordination

Meeting & Communication Management

  • Proactively prepare for meetings by compiling relevant reports, data, and briefing materials
  • Attend meetings where required, record minutes, and track follow-up actions
  • Draft presentations, reports, corporate communications, announcements, and correspondence where required.

Travel & Event Coordination

  • Plan and manage all travel arrangements including flights, accommodation, transportation, and itineraries
  • Coordinate business meetings, market visits, conferences, town halls, and corporate events
  • Negotiate with travel agents and hotels to secure optimal corporate rates and arrangements

Stakeholder & Office Coordination

  • Act as a key liaison between the Group CEO and internal/external stakeholders, including regional offices, senior leadership teams, and subsidiaries.
  • Support coordination with key partners and stakeholders across the Group and affiliated organizations

Operational & Administrative Oversight

  • Maintain action logs and ensure timely follow-up on key deliverables and decisions
  • Manage expense claims, corporate gifts, and other matters for the Group CEO
  • Support administrative processes including documentation, board packs, and reporting
  • Review and verify claims, leave records, and travel submissions for approval for direct reports of the Group CEO

Additional Responsibilities

  • Handle confidential personal matters for the Group CEO with utmost discretion
  • Undertake special assignments and projects as directed

Key Requirements

  • Minimum 5 years experience as an Executive Assistant supporting C-suite leadership
  • Excellent verbal and written communication skills in English
  • Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word)
  • Strong organizational, multitasking, and time management abilities
  • Proven experience managing complex travel arrangements and logistics
  • High level of discretion, professionalism, and emotional intelligence
  • Ability to remain calm and composed under pressure
  • Proactive, resourceful, and able to work independently with minimal supervision
  • Strong sense of ownership, accountability, and decision-making capability
  • Willingness to work flexible hours to support business needs
