We are looking for an Executive Assistant to provide personalized, top-level assistance to our Managing Director. This is a hybrid position based in Kuala Lumpur, Malaysia. Only local candidates or those with a legal permit to work in Malaysia will be considered.
You will work closely with our Managing Director on a variety of tasks relating to their working life and communications. Our ideal candidate will be well-organized and self-motivated, as well as comfortable scheduling meetings and responding to emails on the company's behalf.
Responsibilities:
- Calendar and email management
- Arranging travel, including flight and hotel bookings
- Organising files, records, and office documents
- Preparing basic meeting notes, schedules, and follow-up reminders to the Managing Director
- Coordinating internal communication and liaising with other team members
- Assisting with arranging visits, client appointments, and logistics
- Supporting the Managing Director with general administrative tasks as needed
Qualifications & Requirements:
- Bachelor's degree or equivalent experience
- Working proficiency in English required
- Proficient in Microsoft Office suite and basic office systems
- Experience in managing multiple priorities, administrative coordination, and logistics
- Discreet, organized, & detail-oriented, with ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Must be based in Kuala Lumpur, Malaysia and legally allowed to work in Malaysia
