Roles & Responsibilities

  • Responsible for monitoring and distribution of Sales Invoices and Credit Notes on CPO, TGO, PK, PKS and sludge sales to all customers for 5 companies under Plantation Upstream and thereafter compile in shared folder.
  • Replying to buyers emails on various issues on daily basis.
  • Liaise with traders, mills, IT team, external parties and customers if there are discrepancies in the weights as and when reported by customers and ensure issues are resolved promptly.
  • Responsible for preparing the month end closing stock reconciliation reports highlighting difference between dispatch quantity in CRS, SPOT & sales invoiced.
  • Responsible for preparing monthly upstream final sales summary (internal & external sales)
  • Responsible for preparing Stock Declaration for actual month end stock reporting to the traders for insurance coverage purposes.
  • Responsible for the monthly submission of the Sabah State Sales Tax return and Sarawak State Sales Tax. Compile relevant documents, obtaining approvals, compiling invoices and ensure timely submission to the respective State Treasury, MOF. Thereafter, send to upstream treasury team on tax amount to be paid in a timely manner and upload payment remittance in the portal / email to relevant state officer. To also ensure the monthly receipt is issued to us by the respective State Treasury, MOF.
  • Responsible for reconciling MPOB MF4 (monthly production report form), MPOB KS4 (storage facilities to report monthly inventory and movement of palm products) against SST Form 4 & SAP / SPOT info on monthly basis.
  • Prepare detailed information form on CPO sales as required by Sabah State, MOF, which subsequently send to customers for their acknowledgement & confirmation.
  • Responsible for filing Sabah Sales Tax return to the portal on tax declaration, tax payment & receiving receipt from MOF.
  • Collaborate with peers to follow up with traders on the closure of upstream sales contracts when necessary.
  • Assist peers in performing sales reconciliations whenever there are discrepancies in the invoiced buyer's weight and consistently liaise with customers to ensure amounts are reconciled immediately.
  • Responsible for preparing reconciliation of third-party customers statements, processing customer refunds (CPO, PK, Sludge) in regular manner, monitoring closure of contracts under payment in advance term customers are done by the traders and subsequently, refunds can be made to customers on timely manner to achieve a clean customer aging report. And processing third party quality claims for CPO & PK after obtaining approval from respective mill and trader.
  • Responsible for providing the weekly cash requirement estimates to SDG treasury team in relation to customer's refunds/Quality Claims.
  • Responsible for preparing reconciliation of third-party customers statements and processing refunds and computing/process Quality Claims in a regular manner.
  • Responsible for renewal BG for upstream customers and processing new BG received prior expiry of the previous BG.
  • Collaborate with peers to follow up with external parties on proceeds not posted shown in the bank reconciliation.
  • Responsible for following up with external parties to confirm incoming proceeds payment from customers to avoid late collection of oils.
  • Assist superior / peers / upstream team in relation to any audit or state government queries on upstream sales related.
  • Assist superior / peers / upstream team in relation to any request for yearly transfer pricing docs.

Ideal Candidate

  • Possess a Bachelor's Degree in Accounting or an equivalent qualification
  • Minimum 2 years of experience in Accounts Receivable (AR) operations.
  • Proficient in Microsoft Office applications
  • Well-versed in SAP, CRS, and SPOT systems.
