Job Description

Purpose of Job

  • Assist to provide quality support Finance Department services in terms of executing financial matters with donors, third parties, consultants, suppliers and internal customers (project executants and other sector/unit staff), for purposes of ensuring compliance with legal and donor requirements
  • Assist to co-ordinate the preparation of annual budgets, mid-terms reviews and any other required financial forecasts that may be required from time to time for the assigned conservation programmes which may vary over time due to developments in the programmes and/or job rotation.
  • To actively participate in the development of project proposals, especially the financial budget, in collaboration with the assigned conservation programmes.
  • To assist the Senior Manager, Finance (Project Finance) in any assigned ad-hoc finance related matters.

Key Outputs

  1. Complete and accurate donor and project financial reports are prepared and submitted within the required deadlines, while project-related transactions, expense claims, journal adjustments and accounting codes are reviewed and processed accurately to support timely monthly and year-end closing.
  2. Project expenditures, budgets, funding positions, cash flows and financial forecasts are regularly monitored and analysed, with sound financial advice provided during programme planning, annual budgeting, mid-term reviews, quarterly reviews, SAFARI and other relevant processes.
  3. Current and historical financial records, budgets, forecasts, reports, project agreements, supporting documents, Master Project Lists, Project Progress Reports and project agreement checklists are properly maintained, updated promptly and readily accessible.
  4. Professional working relationships are maintained with donors, project teams, consultants, implementing partners, vendors and other internal and external stakeholders to facilitate timely reporting, funding coordination and resolution of project finance matters.
  5. Project financial activities comply with organizational policies, donor requirements, applicable laws and regulatory frameworks, while ensuring the confidentiality and safekeeping of financial information and providing appropriate back-up support to other Finance team members when required.

Major Activities

  1. All payables and income of WWF-Malaysia are processed accurately and on a timely basis.
  2. Prepare treasury related and other accounting journals in accounting system.
  3. Provision of quality services in terms of executing Finance matters and ensures professional working relationships with external parties (third parties, consultants, vendors/) and internal executants. Funding issues and/or related finance administration issues/problems for assigned conservation programmes are handled and resolved in an effective manner, in consultation with the Senior Manager, Finance (Project Finance) and/or Head of Finance.
  4. Complete, prompt and proper maintenance of historical and current financial records and data (budgets/forecasts, reports) and legal documents for the assigned conservation programmes.
  5. Timely and accurate financial reports are generated for the assigned conservation programmes and are sent to stakeholders promptly, including but not limited to the quarterly donors financial reports.
  6. Assist with the monthly and year end accounts closing process:(i) check, verify and approve expense claims (ii)check and verify accounting codes (i.e. budget codes, department codes, project codes, fund codes, donor codes, etc.) on accounting transactions to be entered and posted in the accounting system (iii) check and verify journal adjustments received from projects and to post them into the accounting system.
  7. Review and analyse project expenditures, funding and cash flows and provide sound financial advice to project executants on projects expenditure trends, budgeting and any other financial related matters for the assigned conservation programmes.
  8. Attend and provide sound financial advice during related events i.e. quarterly and annual reviews, programme planning, annual and midterm budgets review, SAFARI and etc. for the assigned conservation programmes.
  9. Create and circulate project agreement/sub-grant checklists for information and acknowledgement by internal stakeholders.
  10. Assist to provide efficient finance focal liaison with donors for the assigned conservation programmes.
  11. Maintains an up-to-date overall Master Project List and Project Progress Report related to the assigned conservation programmes.
  12. Provide back-up and assistance to other members of the Finance team with their tasks and duties as needed during their periods of absence or sudden unexpected increases in workload.
  13. Ensure the confidentiality and safekeeping of Finance Sector data and information.
  14. Compliance with legal framework that binds the organisation both nationally and internationally.
  15. Carry out any other duties deemed necessary by the Senior Manager, Finance (Project Finance).

Specifications

  1. A recognised degree in Accounting, Finance, Business Administration, or a related discipline from a reputable institution. A relevant professional accounting qualification or partial professional qualification would be an added advantage.
  2. Strong analytical and numerical skills, with the ability to review financial information, identify discrepancies, and produce accurate financial reports.
  3. Resourceful, meticulous, and well organised, with strong attention to detail and a high level of accuracy.
  4. Good written and verbal communication skills, particularly in preparing business correspondence and liaising with internal stakeholders, project teams, and other relevant parties.
  5. Proficient in Microsoft 365 applications, particularly Microsoft Excel. Experience using Microsoft Lists, SharePoint, Power BI, or other financial and data management systems would be an advantage.
  6. Able to manage multiple assignments, prioritise competing deadlines, and work effectively under time pressure.
  7. Basic knowledge of budgeting, financial reporting, account reconciliation, and grant or project financial management.
  8. Experience in donor-funded projects, non-profit organisations, or grant management would be an added advantage.
  9. Able to work independently with minimal supervision while also contributing effectively as part of a team.
  10. Pleasant, professional, dependable, and committed, with a positive attitude and willingness to learn.
  11. Demonstrates integrity, confidentiality, and sound judgement when handling financial and sensitive information.
  12. Good command of written and spoken English. Proficiency in Bahasa Malaysia would be an advantage.

Salary Range

RM2,800 - RM3,300
