Job Description :

1. Learning & Development Support

  • Coordinate training arrangements including venue booking, registration, attendance tracking, and training logistics.
  • Maintain and update training calendars, training records, and certificate tracking.
  • Prepare and manage HRDF-related documentation and submission support.
  • Liaise with training vendors, internal stakeholders, and participants to ensure smooth training execution.

2. Recruitment Coordination

  • Coordinate interview scheduling and align interviewer availability.
  • Arrange interview venues, online meeting links, and candidate communication.
  • Support recruitment tracking and maintain recruitment documentation.
  • Assist in coordinating recruitment-related administrative matters.

3. Employee Engagement & HR Support

  • Assist in organising employee engagement activities, HR events, and internal initiatives.
  • Support event logistics, coordination, employee communication, and briefing arrangements.
  • Prepare and follow up on related documentation, attendance, and event support materials.

4. HR Administration & Inventory Management

  • Manage HR inventory including onboarding kits, gifts, training materials, and event items.
  • Monitor stock availability and coordinate replenishment when necessary.
  • Support cost tracking, purchase documentation, and administrative records for HR activities and campaigns.
  • Prepare basic reports, reconciliation, and administrative summaries as required.

5. Employee Records & Documentation Support

  • Assist in maintaining and updating employee records and ePFiles.
  • Support documentation filing, record checking, and HR administrative coordination.
  • Ensure employee documentation is properly organised and updated in a timely manner.

6. Internal Communication & HR Creative Coordination

  • Support preparation and dissemination of HR communications including announcements, event updates, employee engagement messages, and HR-related notices.
  • Coordinate simple HR communication materials such as posters, emailers, presentation slides, and event visuals with internal teams or designers.
  • Ensure communication materials are distributed in a timely and accurate manner across relevant channels.
  • Assist in maintaining consistency of HR communication and branding for internal activities and campaigns.

7. Payroll & Claims Consolidation Support

  • Support monthly payroll preparation by consolidating HR-related submissions including overtime, allowances, claims, attendance, and supporting documents.
  • Ensure payroll and claims submissions are compiled accurately and submitted within the stipulated timeline.
  • Liaise with internal stakeholders to follow up on incomplete or pending payroll-related documentation.
  • Assist in preparing payroll summaries, trackers, and basic reconciliation for verification purposes.

Job Requirement :

1. Bachelor's Degree in Human Resources, Business Administration, Management, or any related discipline.

2. Preferably 1–2 years of working experience in HR operations, HR coordination, or HR support functions.

3. Experience in HRDC (formerly HRDF) documentation, claims, and system submissions will be an added advantage.

4. Exposure in recruitment coordination, training coordination, employee engagement activities, or payroll-related administration is preferred.

5. Familiarity with HR administrative processes, employee documentation management, and coordination work will be advantageous.

6. Strong coordination, organisational, and multitasking skills with good attention to detail.

7. Able to manage multiple assignments and meet timelines in a fast-paced working environment.

8. Good communication and interpersonal skills with the ability to engage and collaborate with employees and stakeholders at different levels.

9. Pleasant personality, proactive attitude, and enjoys supporting people-related activities, events, and HR initiatives.

10. Proficient in Microsoft Office applications such as Excel, Word, and PowerPoint.

11. Creative exposure in preparing simple communication materials, posters, or internal announcements will be an added advantage.
