Job Description

JOB SUMMARY

Support the planning, coordination and implementation of training and development initiatives across Regional Offices and branches under the Physical Channel Department. The role focuses on ensuring effective execution of learning programmes, supporting competency development and enhancing workforce capability in line with organisational objectives.

JOB RESPONSIBILITIES

1.Workforce Management & Data Coordination

  • Assist in maintaining and updating staff movement records (e.g. transfers, promotions, retirements) across Regional Offices and branches, ensuring accuracy and alignment with official records
  • Support the development, maintenance and continuous enhancement of workforce databases to strengthen alignment between staff profiles, competencies and branch operational requirements
  • Ensure workforce data is accurate, complete and timely to support reliable reporting and decision-making
  • Assist in updating and maintaining organisational structure charts, functional directories and staff deployment mapping to reflect current operational structure

2.Workforce Reporting & Analysis

  • Consolidate and analyse workforce data from Regional Offices and branches to support management reporting and operational insights
  • Prepare regular workforce dashboards, reports and analytical summaries to support monitoring of staffing trends, utilisation and productivity
  • Identify patterns, discrepancies and data gaps, and support data validation and reconciliation across multiple sources
  • Support the translation of data into actionable insights to assist management in workforce planning and optimisation

3.Performance Management Support

  • Assist in coordinating performance appraisal processes across regions and branches, ensuring timely submission and compliance with established guidelines
  • Support consolidation, tracking and analysis of performance data (e.g. EPF Star), highlighting trends, gaps and areas for improvement
  • Assist in preparing reports, responses and briefing materials related to performance outcomes and workforce effectivenessAssist in coordinating performance appraisal processes across regions and branches

4.Workforce Planning Support

  • Assist in manpower planning exercises, including workforce requirement analysis, capacity assessment and resource allocation across regions and branches
  • Support the preparation of data inputs, analysis and documentation for workforce-related proposals, studies and management papers
  • Analyse workforce trends, deployment patterns and utilisation rates to identify opportunities for optimisation and efficiency improvements
  • Support evaluation of workforce needs for new initiatives, functions or branch requirements

5.Stakeholder Coordination

  • Liaise with Regional Offices and branches to ensure timely submission, accuracy and completeness of workforce data
  • Coordinate with internal stakeholders (e.g. PMD and Operations Division units) on workforce-related matters, ensuring alignment and consistency
  • Support follow-up on data requests, reporting timelines and workforce initiatives to ensure smooth execution
  • Build effective working relationships with stakeholders to facilitate collaboration and information flow

6.Administrative & Project Support

  • Assist in the preparation of documentation, reports, presentations and briefing materials for management and internal stakeholders
  • Support coordination of meetings, including agenda preparation, documentation and tracking of action items
  • Provide support for departmental initiatives, projects and continuous improvement efforts related to workforce management
  • Assist in maintaining proper documentation and record-keeping for workforce-related activities

JOB REQUIREMENTS

  • Malaysian citizen
  • Pass in Bahasa Melayu, including oral test in Sijil Pelajaran Malaysia (SPM) level or equivalent qualification recognised by the Government.
  • Bachelor's Degree with honours in the field of Statistics / Actuary / Business Economics or equivalent qualifications from local or overseas higher learning institutions recognised by the Malaysian government.
  • Minimum 2 years of relevant experience in workforce management, HR operations, data analysis or reporting
  • Strong analytical and data management skills (e.g. Excel, Power BI or equivalent tools)
  • Ability to effectively communicate (verbal and written correspondence) in Bahasa Melayu and English professionally with stakeholders.
  • Good coordination and stakeholder management skills
  • Detail-oriented, organised and able to work in a fast-paced environment
  • Willingness to learn, work in a team and share knowledge
