Job Description

Job Summary

Execute marketing and communications activities and provide operational support for Industry Capacity Development Department (ICDD) programmes by coordinating outreach, participant engagement, payment systems and administrative processes to ensure effective programme promotion, smooth participant experience and timely programme delivery.

Job Responsibilities:

1. Assist in preparation and coordination of programme administrative documentation, including quotations, invoicing and receipts, to ensure compliance with approved procedures

2. Coordinate invoicing, payment tracking and follow-up activities, including liaison with the Financial Accounting Department (FAD) and support for monthly LHDN e-lnvoice submission.

3. Act as the focal point for the payment merchant system by managing participant enquiries and liaising with vendors to ensure smooth payment processing.

4. Act as the main contact point for the Strategic Partnership and Programme Management Unit to turn programme data into clear promotional content.

5. Execute approved marketing and communications activities to support programme visibility, outreach, and participant awareness.

6. Support the Marketing and Communications function by preparing and executing approved marketing collaterals, including brochures, banners, digital visuals and promotional materials, in accordance with established branding guidelines.

7. Coordinate dissemination of programme information across approved digital platforms, networks and stakeholder channels.

8. Manage participant registration, confirmation and communication processes to ensure accurate records and participant readiness.

9. Provide administrative programme support for event and programme implementation across ICDD units during parallel activities, including documentation, registration and communications support, as assigned by programme leads.

10. Support marketing and branding activities for programmes, conferences and official events through administrative and coordination support.

11. Assist in consolidating programme-related data, participant information and basic performance reports for invoicing, monitoring and internal reporting.

12. Maintain and update contact databases, records and documentation related to marketing activities, programmes and stakeholder engagements

13. Assist in post-programme activities, including participant follow-up, feedback collection, certificate coordination and other ad-hoc administrative tasks as directed.

Qualification & Work Experience

1. Bachelor's Degree in Business Administration, Communications, Creative Multimedia, Marketing, Accounting, Finance or other relevant disciplines with a minimum CGPA of 3.00 from a recognized institution.

2. Minimum 2 years of relevant working experience in marketing, communications, programme administration, invoicing, participant management or related roles. Problem-solving skills and out-of-the box thinker.

3. Experience in developing and coordinating marketing collaterals and executing communications activities across digital platforms.

4. Experience in supporting invoicing, payment tracking and basic financial reporting in an organisational or programme delivery environment.

5. Proficiency in Microsoft Excel for tracking revenue, collections and outstanding payments.

6. Working knowledge of design tools such as Canva and/or Adobe Creative Suite is an added advantage.

Technical Competencies/Skills

• Proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, Teams, SharePoint)
