What would you do

Executive Office Management

  • Manage the senior management's calendar, appointments, meetings, travel arrangements, and daily schedules to optimize productivity and ensure effective prioritization of time.
  • Proactively identify scheduling conflicts, operational bottlenecks, and competing priorities and recommend solutions before issues arise.
  • Ensure all meetings, presentations, reports, and materials required by the senior management are prepared accurately and on a timely basis.
  • Act as the primary liaison between the senior management and internal or external stakeholders.
  • Provide support to the divisional leadership team

Stakeholder & Relationship Management

  • Serve as a trusted gatekeeper for the senior management's office, managing requests, communications, and engagements professionally and tactfully.
  • Handle enquiries, issues, and escalations independently whenever appropriate and ensure timely resolution.
  • Foster positive working relationships with senior management, business units, regulators, partners, vendors, and external stakeholders.
  • Demonstrate diplomacy, discretion, and professionalism in handling sensitive situations and confidential matters.

Strategic Coordination & Follow-Up

  • Coordinate cross-functional initiatives, executive meetings, management committees, and division activities.
  • Track action items, commitments, deadlines, and decisions from meetings and ensure timely execution by assigned parties.
  • Monitor follow-through across departments and escalate overdue matters where necessary.
  • Assist the senior management in driving organizational priorities and strategic initiatives by ensuring alignment and execution discipline.

Problem Solving & Decision Support

  • Anticipate issues and potential risks and take proactive steps to address them before they impact business operations or executive schedules.
  • Apply sound judgment in handling confidential and sensitive matters.
  • Resolve administrative, operational, and stakeholder-related issues efficiently with minimal supervision.
  • Exercise critical thinking and initiative to support decision-making and improve processes.

Communication & Presentation Excellence

  • Draft, review, and prepare executive correspondence, reports, presentations, speeches, talking points, and briefing materials.
  • Ensure communications are concise, accurate, professional, and appropriate for senior management and Board-level audiences.
  • Coordinate information gathering across departments to support executive reporting requirements.
  • Maintain high standards of corporate communication and executive professionalism.

Administration & Governance

  • Ensure confidentiality, integrity, and security of information at all times.
  • Maintain proper records, document management, filing systems, and governance practices.
  • Oversee travel arrangements, claims, logistics, events, office administration, and executive support matters.
  • Ensure day-to-day administrative activities are executed efficiently, systematically, and with attention to detail.
  • Petty Cash custodian and management for the division.

Culture & Office Leadership

  • Support initiatives that promote a productive, collaborative, and high-performing work environment.
  • Represent the senior management's office professionally and serve as a role model for professionalism, responsiveness, and service excellence.
  • Undertake special projects and ad-hoc assignments as assigned by the senior management.

Who should join us

  • Minimum 3 to 5 years working experience with Senior Management
  • Professional, independent, energetic, and eager to learn, with robust team collaboration skills.
  • Self-motivated with a pleasant personality, excellent communication skills, and a high degree of integrity.
  • Proficient in Microsoft Office applications (Excel, PowerPoint, and Outlook).
  • Able to work well under pressure, meet deadlines, and pay attention to detail.
