Your responsibilities will be to:
1. Telephone Calls
i) Answering, screening and directing incoming calls and making outgoing calls for superior.
ii) Making arrangement for HODs to meet with superior and vice versa.
iii) Making arrangement to escort VIP clients through Group Corporate Communications.
2. Documents Received From Departments, Mails, Couriers And Fax Machine
i) As instructed, distribute correspondences to respective parties for further action and follow-up on the status.
ii) Schedule and arrange dispatch to collect/send by hand documents to regulatory bodies and etc. as well as sending greeting cards, diaries, calendars, small cap books and others for clients.
iii) Safe keeping of superior personal documents.
3. Handling Emails
i) Printing correspondences from internal / external emails for superior attention.
ii) Forwarding correspondences to respective HODs for further action as instructed by superior.
iii) Reply confirmation through email for appointment, conference/seminar, lunch and etc. invited by clients and/or arranged by HODs.
4. Handling and booking of air tickets and hotel accommodation for superior, business associates and etc. and also making changes to the return tickets or check-in for overseas clients/superior.
5. Compilation (from all departments/branches), updating and maintaining clients database for festive greeting cards, hampers, calendars, small cap books and etc.
6. Keeping and maintaining sufficient stock of stationeries, letterheads, envelopes and superior name card.
7. Assisting superior in managing personal matters i.e. monitor fund, prepare and submit personal income tax before deadline, bank matters, payment of utilities, coordinate repairs at the house when required, and etc.
8. Monitor and verify superior drivers overtime claim, annual leave, reimbursement of toll, vehicle maintenance and monthly petrol consumption.
9. Perform other functions as may be assigned by the superior from time to time.
