What will you be doing

Executive & Secretarial Support

  • Manage and maintain executives calendars, appointments, meetings, and travel arrangements.
  • Coordinate and schedule internal and external meetings, including preparation of agendas and meeting materials.
  • Handle confidential documents and information with discretion and professionalism.
  • Follow up on action items and deadlines to ensure timely completion.

Meeting & Event Management

  • Organize management meetings, board meetings, committee meetings, and business reviews.
  • Prepare meeting agendas, presentation materials, minutes of meetings, and action trackers.
  • Coordinate logistics, venue arrangements, catering, and communication with attendees.
  • Ensure proper documentation and filing of meeting records.

Administrative Management

  • Manage travel bookings, accommodation, visa applications, and expense claims.
  • Maintain filing systems, records management, and document control.
  • Prepare letters, reports, presentations, and business correspondence.
  • Monitor and replenish office supplies and coordinate administrative support activities.

Stakeholder Coordination

  • Serve as the key liaison between the executive and internal/external stakeholders.
  • Facilitate communication and coordination across departments and business units.
  • Build positive working relationships with stakeholders while maintaining professionalism.

Confidentiality & Compliance

  • Ensure confidentiality of all executive and company information.
  • Support compliance with company policies, governance requirements, and standard operating procedures.
  • Safeguard sensitive business information and records.

Other Duties

  • Support special projects and initiatives assigned by Management.
  • Perform ad-hoc administrative and secretarial duties as required.

What you bring

  • Diploma or Bachelor's Degree in Business Administration, Corporate Administration, Secretarial Studies, Office Management, or a related discipline.
  • Minimum 3–5 years of experience as an Executive Secretary, Personal Assistant, Executive Assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong report preparation and presentation support skills.
  • Familiarity with document management systems and digital filing platforms.
  • Experience in travel and event coordination.
  • Good understanding of corporate administration and office management practices.
  • Knowledge of meeting management and minute-taking.
  • Highly organized and meticulous.
  • Able to work independently with minimal supervision.
  • Comfortable managing multiple priorities in a fast-paced environment.
