Position Overview
The Secretary to the General Manager is responsible for providing comprehensive administrative and secretarial support to the General Manager to ensure the smooth and efficient operation of the Executive Office. This role requires a highly organised, proactive, and discreet individual who can manage confidential information, coordinate executive communications, arrange meetings, prepare reports and correspondence, monitor follow-up actions, and support day-to-day executive operations. The Secretary serves as a key liaison between the General Manager, department heads, owners, corporate representatives, business partners, and external stakeholders, while maintaining the highest standards of professionalism, confidentiality, and service excellence.
Key Responsibilities
1. Provide comprehensive administrative and secretarial support to the General Manager.
2. Manage the General Manager's calendar, appointments, meetings, and travel arrangements.
3. Prepare correspondence, reports, presentations, and other executive documents.
4. Coordinate Executive Committee and management meetings, including agendas, meeting minutes, and follow-up on action items.
5. Maintain confidential records, documents, and filing systems with a high level of discretion.
6. Serve as the primary liaison between the General Manager and internal and external stakeholders.
7. Coordinate executive communications and ensure timely follow-up on operational matters.
8. Support the planning and coordination of executive projects, VIP visits, and special events.
9. Compile management reports, presentations, and business updates for the Executive Office.
10. Ensure the smooth and efficient day-to-day operation of the Executive Office.
11. Perform any other duties assigned by the General Manager
What We Need From You
1. Diploma or Degree in Business Administration, Secretarial Studies, Hospitality Management, or a related field.
2. Minimum 2 years experience in an executive secretarial or administrative role, preferably within the hospitality industry.
3. Excellent written and verbal communication skills in English.
4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
5. Ability to work independently and build effective relationships with stakeholders at all levels.
