Job Description

As an Executive/ Senior Executive, you will play a pivotal role in driving the seamless management of library operations and advancing both physical and digital (phygital) library environments. You will champion innovation, enhance user experiences, and pursue operational excellence, ensuring our library spaces and services proactively adapt to changing user needs and emerging technologies by leveraging on AI and IT tools. Your efforts will enrich learning, revitalize engagement, and support our vision to be a leading global academic library.

Library Operations Management & Support

  • Lead and manage day-to-day library operations to ensure smooth functioning and standardizing of frontend and backend processes across physical and digital platforms, such as service desk, user services, facilities, stack management, resources, online seat booking system, staff rosters for both regular and after-hours duties across libraries.
  • Support the oversight of library renovation projects by integrating smart building features, automation systems, space revitalization and optimization, and developing modern, collaborative spaces that enhance user experiences.
  • Collaborate with internal and external stakeholders to support library events, special projects, community engagement, and cross-functional initiatives that advance the library's strategic goals.
  • Contribute actively to digital transformation initiatives for both existing and new library systems, advancing digital innovation and enhancing user experiences.
  • Support in implementing and monitoring measures to ensure compliance with workplace and fire safety standards and regulations.

Innovation & Operational Excellence

  • Foster a user-centric service culture by continuously seeking ways to enhance user experiences, streamline workflows, operational efficiency, and implement best practices in automation and process optimization.
  • Champion innovation in library services, proactively identifying opportunities to adopt new technologies, improve service delivery, and respond to evolving user needs.
  • Supervise and develop APRM administrative staff, communicating operational updates, and providing guidance, mentorship, and training to build a high-performing, collaborative team.
  • Ensure compliance with university policies and industry standards in all aspects of operations, including safety, security, and resource management.
  • Assist in the annual staff appraisal process, providing timely and constructive feedback.
  • Enhance capabilities to engage and empower student associates in driving innovative initiatives that improve operational efficiency and foster continual renewal.

Training, Outreach & Innovation

  • Design and facilitate training programmes on Library Operations initiatives to empower and upskill library staff and student associates.
  • Foster knowledge sharing within the APRM Cluster and beyond.
  • Monitor and evaluate emerging technology trends, particularly AI tools that are relevant to library operations and services.

Reporting & Analysis

  • Collect, monitor and evaluate key performance indicators to assess service quality and identify gaps.
  • Prepare reports and presentations with actionable insights and recommend improvements.

Other Duties: Undertake additional responsibilities as delegated by the APRM Cluster to support the dynamic needs of the library.

Qualifications

  • Diploma or Bachelor's degree in Library and Information Science preferred, or related field, e.g. Education, Information Management, or Business Administration).
  • Project Management or relevant certifications can be advantageous.
  • At least 2 years working experiences in library operations, space management and digital transformation.
  • Proficiency in library management systems, facility management, and smart building technologies will be considered an asset.
  • Proven ability in customer service, project management and supervising staff.
  • Demonstrates a forward-thinking approach to customer service, with a strong commitment to proactively enhancing service delivery for the University community and library members.
  • Interest in technology and AI trends and innovation in educational or library settings.
  • Adaptability to evolving emerging technologies and requirements.
  • Strong troubleshooting, resourceful, independent and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Strong teamwork, organizational and multitasking skills.
  • Ability to react and response in fast pace and ever evolving environment.
  • Attention to detail and commitment to quality service.
  • Ability to deliver training and cultivate knowledge sharing culture.
  • Proficiency in Microsoft Office applications and web technologies is required.
