Job Overview
We are seeking a dynamic and highly organized Administration and Extra-Curricular Activities (ECA) Coordinator to lead, develop, and manage our school's co-curricular and extracurricular programs. The ideal candidate will be passionate about student engagement, event planning, and fostering a vibrant school culture through sports, clubs, competitions, trips, and community initiatives. This role requires a blend of administrative excellence, leadership, creativity, and hands-on coordination to ensure a well-rounded student experience.
Key Responsibilities
Administrative & Operational Duties:
- Maintain and update the school ECA database, ensuring accuracy of records.
- Prepare financial reports for each program and submit budget updates to management.
- Assist in facility management, scheduling maintenance, and liaising with service providers.
- Oversee office support tasks (printing, supplies, attendance records) as needed.
ECA's Program Management
- Design, schedule, and oversee all extracurricular activities (sports, clubs, school teams, arts, academic clubs, etc.) for the academic year.
- Assign students to ECA classes based on interest, skill level, and school objectives.
- Monitor ECA instructors performance, ensuring adherence to curriculum and engagement standards.
- Maintain attendance records for students and instructors in all ECA programs.
- Track and report on student participation, progress, and achievements in competitions and events.
Event & Trip Coordination
- Plan and execute inter-house competitions, award ceremonies, carnivals, and sports events.
- Organize educational trips, excursions (local & international), and adventure-based activities (trekking, hiking, rafting, etc.) with a focus on learning and service.
- Coordinate community service projects, charity drives, and social campaigns to foster student leadership and social responsibility.
- Liaise with transportation, vendors, and external providers to ensure smooth operations.
Leadership & Development
- Conduct monthly observations of ECA classes and provide feedback for improvement.
- Develop orientation programs for students and instructors.
- Foster a positive, inclusive, and high-energy ECA culture within the school.
Requirements
- Education: Minimum Diploma (Degree preferred) in Education, Sports Management, Event Planning, or related field.
- Experience: At least 2 years in event coordination, school administration, or ECA management.
