Job Purpose
To lead and manage all Facility Management (FM) services for the Malaysia office, ensuring safe, compliant, efficient and customerfocused operations in line with Novartis policies, MSA, SAM and SOW requirements.
Key Responsibilities
- Lead the delivery of all FM services (helpdesk, reception, cleaning, pest control, indoor plants, mailroom, stationery, pantry, general maintenance, MAC and events).
- Act as single point of contact to Novartis stakeholders (REFS, HSE, Legal, Finance, Business) for all FM matters, audits and inspections.
- Manage FM budget, forecasts and cost control, review and approve FM-related quotations and invoices.
- Manage vendors and service providers, ensuring contract compliance, performance against KPIs and implementation of corrective actions where required.
- Ensure compliance with Novartis policies, Third Party Code, HSE and regulatory requirements, and drive HSE culture within FM and vendors.
- Oversee FM reporting (KPIs, service levels, incidents, customer satisfaction) and lead governance and performance review meetings.
- Identify and deliver continuous improvement, space optimisation and GoGreen initiatives.
Requirements
- Degree in Facilities Management, Engineering, Business Administration or related field.
- 5+ years experience in FM or property management, including vendor and contract management.
- Strong stakeholder management, communication and people leadership skills.
- Good knowledge of HSE and regulatory requirements for office environments.
