Field Service Coordinator
Job Description
This role provides essential administrative and logistical support for the deployment of field service activities. This role ensures that field teams have the necessary tools, documentation, and approvals to perform their job efficiently and safely. The coordinator also supports commercial and operational functions by preparing inter-company proposals and managing purchase requisitions for both internal and external services.
Key Responsibilities
1.Deployment Support
Coordinate all administrative aspects of field service deployment
Ensure field teams have required tools, equipment and documentation before mobilization
Verify all customer and company requirements are met prior to deployment, including safety, compliance and site-specific approvals
Track mobilization readiness and follow-up on actions to ensure on-time mobilization
2.Inter-company Proposal Preparation
Prepare internal proposals (cost estimates) for field service jobs that require support from other countries or regions
Ensure compliance with internal policies (BTAT, PATAC etc.) and on-time submission
3.Purchasing Management
Create purchase requisitions for internal resources, external services or subcontractors required for field services
Coordinate with Procurement and Finance to ensure timely approval of purchase orders
Track requisitions and provide updates to relevant stakeholders
4.Documentation & Reporting
Prepare and maintain accurate deployment, including job folders, work instructions, and customer specific requirements
Ensure service reports and field records are submitted on time, properly completed and archived
Maintain traceability for all documents and approvals for audit purposes
5.Coordination with Internal Teams
Liaise with Field Resource Manager to understand workforce availability and readiness
Work closely with Regional Field Service Planner to support scheduling and mobilization
Coordinate with Operations, Sales and other support functions to ensure all deployment needs are addressed
6.Continuous Improvement
Identify administrative or process gaps that cause delays or errors in deployment
Suggest improvements to streamline mobilization, documentation and proposal preparation
Support standardization and best practices across the field services organization
Requires Skills & Qualifications
Diploma or degree in business administration, logistics, engineering or operations
Experience in field service support, technical administration or operations coordination
Strong organization, documentation and attention-to-detail skills
Proficiency in Microsoft Office, ERP and document management systems
Clear communicator, dependable and able to manage multiple priorities simultaneously
