About The Linens Company
The Linens Company is a boutique home & lifestyle retailer known for our premium bedding, home textiles, and curated lifestyle products. We are seeking a meticulous and proactive Finance & Admin Executive to join our team and support our growing retail and e-commerce operations.
Key Responsibilities
Finance (70%)
- Bookkeeping & Reporting:
- Maintain accurate daily records of sales, payments, and expenses across retail stores, online platforms (e.g., Shopify, Shopee, Lazada), and wholesale accounts.
- Reconcile cash, card, and e-wallet transactions with POS and bank statements.
- Prepare monthly management reports (P&L, balance sheet, cash flow).
- Accounts Receivable & Payable:
- Monitor collections from customers and follow up on outstanding payments.
- Process supplier invoices, employee claims, and recurring expenses on schedule.
- Maintain an up-to-date aging report of payables and receivables.
- Payroll & Compliance:
- Verify staff attendance, punch cards, and claims for accuracy before submitting to the external payroll service provider.
- Ensure compliance with SST, income tax, and other regulatory filings.
- Liaise confidently with income tax officers and other government department officers.
- Coordinate with external accountants, auditors, and tax consultants.
Administration (30%)
- Maintain an organized filing system for financial, HR, and vendor documents.
- Manage supplier accounts, purchase orders, and stock movement documentation.
- Support operational needs such as utilities, insurance renewals, and licensing.
- Assist with basic HR administration (staff attendance records, leave tracking).
- Provide ad-hoc administrative support to the management team as needed.
Qualifications & Requirements
- Diploma/Degree in Accounting, Finance, or related field.
- 2+ years of experience in a similar finance or accounting role (retail experience is a plus).
- Proficient in Microsoft Excel; knowledge of accounting software (e.g., SQL, Xero, QuickBooks) is an advantage.
- Strong organizational skills with keen attention to detail and accuracy.
- Confident and professional in dealing with income tax officers, government departments, and external parties.
- Good communication skills in English and Bahasa Malaysia; Mandarin is a plus.
- Ability to work independently, meet deadlines, and handle multiple priorities.
- Bonus: Candidates who can create and maintain monthly management accounts will have an added advantage.
