Position Overview
We are seeking an HR & Admin Specialist to support our factory operations in Johor Bahru. This role is a generalist position with approximately 30% focus on Human Resources and 70% on factory administration, general affairs, logistics support, and external coordination. The ideal candidate is well-organized, hands-on, familiar with factory operations, and capable of coordinating with internal teams, suppliers, and local government authorities.

This role involves a combination of Human Resources management and administrative responsibilities within the factory setting.
Responsibilities
Human Resources Management (Approx. 30%)
- Handle recruitment and dismissal procedures, including onboarding and offboarding
- Prepare attendance reports and support performance evaluation processes
- Maintain employee records, personnel files, and support employee relations
- Assist in planning and implementing employee training programs
- Handle employee social insurance, statutory contributions, and tax-related matters
- Support other daily HR and employee management activities
Administrative & Factory Management
- Draft, implement, and maintain factory management policies and administrative documents
- Coordinate factory system certifications and compliance-related documentation
- Organize company and factory events, meetings, and internal activities
- Manage factory assets, including machinery, equipment, and office fixed assets
- Coordinate customer and supplier factory visits
- Manage factory stamps, vehicles, and related administrative matters
- Support daily factory administrative and operational management tasks
General Affairs & Facilities Management
- Oversee factory canteen operations and dormitory management for local and foreign workers
- Manage monthly utility payments and cost tracking for factory operations
- Coordinate with public utility providers, including SAJ Ranhill (water supply) and TNB (electricity services)
- Support cost optimization initiatives related to factory utilities and facilities
External Liaison & Government Coordination
- Maintain good working relationships with local government authorities
- Coordinate on-site inspections related to safety, fire protection, and environmental compliance
- Support crisis communication and issue resolution with relevant authorities
- Manage business registrations, licenses, certifications, and timely renewals for the factory
Qualifications
- Education: Diploma or above in Human Resources, Business Administration, or related fields
Required Skills
- Strong organizational and coordination skills
- Hands-on, responsible, and detail-oriented
- Able to handle multiple tasks and work independently
- Familiar with factory administrative workflows and documentation
- Good communication and problem-solving abilities
Preferred Skills
- Experience in factory administration, HR, or general affairs is preferred
- Experience dealing with government authorities, inspections, or factory compliance is an advantage
- Fluent in Mandarin (spoken, written, and reading) top priority
- Proficient in Bahasa Malaysia
- Good command of English (spoken and written) is an advantage
