Position Summary
The HR and Administration Officer will be responsible for managing all aspects of human resources and administrative functions within our technology-driven environment. This role requires a deep understanding of the unique challenges and opportunities within the AI industry, including talent acquisition in competitive tech markets, managing work arrangements, and supporting a diverse technical workforce.
Key Responsibilities
Human Resources Management
- Develop and implement HR policies and procedures aligned with IT industry best practices and company culture
- Manage the full employee lifecycle from recruitment to offboarding, with focus on technical talent acquisition
- Coordinate recruitment processes for technical roles including software engineers, data scientists, AI specialists, and IT professionals
- Conduct initial screening interviews and coordinate technical assessments with hiring managers
- Oversee onboarding programs ensuring smooth integration of technical staff
- Manage employee relations, performance management, and disciplinary procedures
- Administer compensation and benefits programs competitive within the tech industry
- Coordinate professional development and training programs, including technical certifications and skill enhancement
- Maintain employee records and ensure compliance with labor laws and regulations
Administration and Operations
- Oversee daily office operations and administrative functions
- Manage vendor relationships and office suppliers, including IT equipment and software licensing
- Coordinate office space planning and facilities management for technical work environments
- Handle travel arrangements and expense management
- Maintain filing systems, both digital and physical
- Support project coordination and administrative tasks as needed
- Manage office budgets and administrative expenses
- Coordinate company events, team building activities, and tech meetups
AI Industry Specific Functions
- Understanding of technical roles and career progression paths in software development, AI/ML, and IT infrastructure
- Support visa and work permit processes for international technical talent
- Coordinate with technical teams on resource planning and capacity management
- Assist in compliance with industry-specific regulations and standards
- Support intellectual property documentation and confidentiality agreements
- Manage technical contractor and freelancer relationships
Required Qualifications
Education and Experience
- Bachelor&aposs degree in Human Resources, Business Administration, or related field
- Minimum 3-5 years of HR and administrative experience, with at least 1 years in IT, AI, or technology companies
- Proven experience in tech talent acquisition and understanding of technical skill requirements
- Experience with remote work policies and digital workplace management
Technical Skills
- Proficiency in HRIS systems and HR software platforms
- Advanced knowledge of Microsoft Office Suite and Google Workspace
- Familiarity with project management tools (e.g., Jira, MS Teams, Asana, Slack)
- Understanding of basic IT infrastructure and software licensing concepts
- Experience with applicant tracking systems (ATS) and recruitment platforms
