The Junior Human Resources Generalist is responsible for day-to-day operational support and administration of the HR function across multiple countries in the APJ, India, and Malaysia region. This role involves coordinating the implementation of processes, services, policies, and programs throughout all phases of the HR cycle (Onboarding; Employee Relations; Transition and Offboarding) to foster an employee oriented, high-performance culture across all assigned countries.
Essential Job Functions
- Prepare, process and maintain accurate and consistent documentation through the HR cycle across multiple locations.
- Organize and maintain effective personnel records management system(s) with due regard to accuracy, security, confidentiality, and compliance. Ensure all personnel files and electronic files are kept in good order.
- Provide relevant data for monthly payroll submission. Collaborate with payroll teams across different countries to provide accurate and timely employee data for monthly payroll submissions.
- Assist with onboarding and orientation, ensuring that documentation is produced accurately and timely, and tracked for completion and compliance. Assist managers with new employee orientation to deliver an exceptional first-day experience.
- Ensure job descriptions for all positions are accurate, conform to standards and fit for purpose.
- Maintain employee-related databases and prepare periodic reports for management, as necessary or requested.
- Administer employee benefits and social program package.
- Maintain health & safety documentation, where applicable.
- Coordinate sickness, vacation, parental leave, and absence management process; ensure compliance with policy (internal and external).
- Ensure that information and policy documents on the HR sections of the company intranet are accurate and fit for purpose. Assist with the development and maintenance of the HR sections of intranet as required.
- Provide support with all employment relations issues (disciplinary, grievance, performance, etc.).
- Maintain knowledge in local employment/labor law and regulations. Ensure legal compliance by monitoring local HR processes, making recommendations for change or improvement where necessary.
- Assist with employee relocations, including (where relevant) liaison with Global Immigration Specialist, relevant managers, departments and external consultants and agencies; manage visa application and immigration processes, as requested; prepare all relevant documentation, contracts, agreements etc.
Qualifications. Experience & Skills
- Relevant HR qualification or equivalent
- HR Administration experience is essential
- Human Resource knowledge
- Previous experience in IT company and in a global environment are a great plus
- Excellent knowledge in the areas of Employment Law, Performance and Absence Management
- Demonstrated skills in database management and record keeping
- Proactive, energetic and committed person with good communication and networking skills
- Excellent communication and collaboration skills to work with cross-functional teams across EMEA.
- Ability to navigate cultural and regulatory differences between countries while ensuring consistency in HR processes.
- Very good MS Office skills, including Excel
- Fluent English
