Job Description

The Specialist will support the designing, reviewing, and implementation of HR policies related to pay and benefits, and HR processes documentations. This project-based role ensures compliance with internal, external and statutory requirements, drives stakeholder alignment, and leverages digital tools to enable efficient policy & process documentations deployment and tracking.

Location: Petaling Jaya, Malaysia
Work Mode: Hybrid
Contract: 6 months / until Dec 2026

What You'll Do:

1.      Policy and Process Development & Review

  • Draft and revise HR policies related to compensation andbenefits, Standard Operating Procedures (SOPs) related to HR processes.
  • Ensure alignment with global frameworks, local regulations, andbusiness needs.
  • Conduct benchmarking and gap analysis to inform policy updates.
  • Create/maintaining an updated HR Knowledge database; a commonrepository for HR policies, Standard Operating Procedures (SOPs), lettertemplates, forms and tools to promote operational consistency.


2.      Compliance & Governance

  • Monitor regulatory changes and assess policy implications.
  • Coordinate with Legal, Risk, and Audit teams to ensurecompliance.
  • Maintain documentation and audit trails for decisions.


3.      Stakeholder Collaboration

  • Engage HRBPs, Rewards, Payroll, and business leaders to gatherinput and validate policies/SOPs.
  • Facilitate workshops or working sessions to co-create or refinepolicies/SOPs.
  • Track stakeholder feedback and follow up on action items.


4.      Digital Enablement & Communication

  • Use digital tools (e.g., SharePoint, Power BI, HRIS platforms)to manage policy/SOP lifecycle.
  • Develop digital toolkits, dashboards, and communicationmaterials (user guides, training content, etc) to train bot
  • Support digital workflows for policy/ SOP approvals andimplementation tracking.


5.      Project Management

  • Support project management within HR Services team, includingsystem testing, communications, documentations, for processes, payroll,leave management system migration project and any other digitalisation projects.
  • Support in continuous improvement efforts as it relates to theimprovement of efficiency or service level for any HR process orinteraction.

Who we are looking for

  • Policy and Process Documentation Writing & Legal Awareness – Strong understanding of HR policy frameworks, employmentlaw and HR processes. Effective written, oral communication andinterpersonal relation skills; strong attention to detail in composing andproofing communications & reports
  • Project Management – Abilityto manage timelines, deliverables, and cross-functional coordination. Manageand prioritize multiple tasks and/or projects with minimal supervision;follow through tasks assigned and issues in a timely manner.
  • MS Office applications, MS Visio and Digital Fluency – Proficiency in tools such as Microsoft 365 (includingExcel, Visio, Words), SharePoint, Power BI, and HRIS platforms.
  • Analytical Thinking – Abilityto interpret data, identify trends, and make evidence-basedrecommendations.
  • Communication & Influence –Strong interpersonal skills to engage and align diverse stakeholders. Teamplayer and strong customer orientation.


Remuneration:

  • Up to RM5,500 monthly
