Responsible for managing operators daily attendance and roster, working closely with Production Admin and Shift Leaders to ensure accurate records and timely submission.
Main Responsibilities:
a) Attendance Management
Monitor and record employees daily attendance through the time attendance system.
Ensure all clock-ins and clock-outs are accurate and valid.
Resolve attendance record issues such as miss punches or unreported absences.
b) Leave Management
Ensure leave approvals follow company procedures.
Prepare leave balance reports.
Ensure work schedules comply with the Employment Act 1955 (working hours, rest periods, rest days)
c) Overtime (OT) Management
Process overtime applications.
Ensure OT hours are calculated accurately for payroll purposes.
Secondary responsibilities:
a) Payroll Data Collection & Updates
Gather and verify payroll information such as attendance, overtime (OT), allowances, claims, and deductions.
Update employee details such as basic salary, position, or employment status.
b) Document Preparation
Maintain and update employee payroll files.
c) Reporting & Audit Support
Prepare monthly and annual reports covering attendance, leave, overtime, and payroll for management.
Maintain systematic and accurate attendance and payroll records.
Provide required data for internal or external audits.
d) Policy Compliance & Employee Advisory
Ensure all records comply with internal policies and labour law regulations.
Advise employees on attendance, leave, and payroll-related procedures.
Job Specification (Knowledge Skills & Abilities)
1. SPM / Diploma or equivalent.
2. Basic computer skills (Excel, Word).
3. Detail-oriented and reliable.
4. Good communication skills.
