Job Description

Job Purpose

The HR Assistant will provide comprehensive support to the People & Culture team, focusing on Talent Development & Engagement, HR Administration, and Recruitment. This role ensures smooth coordination of processes, accurate record management, and the successful execution of employee engagement initiatives, training activities, and recruitment processes.

Key Responsibilities

1. Talent Development & Engagement (40%)

  • Coordinate staff engagement activities, including planning, logistics, and on-site support.
  • Assist in organizing company events, wellness programs, and recognition initiatives.
  • Support the development and distribution of engagement communication materials.
  • Assist with pre- and post-event documentation, feedback collection, and reporting.
  • Help maintain records related to employee engagement and learning & development programs.

2. HR Administration (30%)

  • Perform accurate data entry and maintain up-to-date HR records in both digital and physical formats.
  • Provide administrative support for general office operations and HR-related documentation.
  • Prepare and format reports, presentations, and documents, ensuring alignment with brand standards and design aesthetics.
  • Handle scheduling, documentation, and follow-up actions to ensure timely completion of HR processes.
  • Support HR compliance and filing requirements.

3. Recruitment Coordination (30%)

  • Schedule interviews, coordinate candidate assessments, and manage logistics.
  • Communicate with candidates regarding interview details and follow-up.
  • Maintain recruitment trackers and assist in preparing recruitment reports.
  • Support the onboarding process, including documentation and induction coordination.

Key Requirements

Education & Experience:

  • Diploma or Bachelor's Degree in Human Resources, Business Administration, or related field.
  • 12 years of experience in HR administration, recruitment, or training coordination (fresh graduates with internship experience are welcome to apply).

Skills & Competencies:

  • Strong organizational and time-management skills with the ability to handle multiple tasks.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office (Word, Excel, PowerPoint); basic design skills for presentations are an advantage.
  • Attention to detail and a high level of accuracy in data entry and record maintenance.
  • Ability to work collaboratively within a team and maintain confidentiality at all times.

Salary Range

RM1,700 - RM2,200
