Job Description

General Purpose of the Role

Reporting to the Senior HR Manager, Southeast Asia, this role is primarily responsible for delivering end-to-end HR operations for Malaysia while supporting selected regional HR activities across Southeast Asia. The incumbent will partner with managers and employees to ensure smooth execution of HR processes, compliance with local employment legislation, and a positive employee experience.

Approximately 70–80% of the role will focus on supporting Malaysia operations, with the remaining 20–30% supporting regional HR initiatives and projects across Southeast Asia.

Key Responsibilities

  • Provide end-to-end HR operational support for Malaysia.
  • Manage the employee lifecycle, including recruitment coordination, onboarding, employee movements, transfers and offboarding.
  • Prepare employment-related documents, including employment contracts, confirmation, promotion, salary adjustment, transfer and separation letters.
  • Support monthly payroll by ensuring timely and accurate submission of payroll inputs and validating payroll reports.
  • Administer employee benefits, insurance, medical claims and statutory requirements.
  • Maintain accurate employee records and ensure timely updates in SuccessFactors.
  • Support probation, performance management and annual salary review processes.
  • Handle employee enquiries and provide guidance on HR policies and procedures.
  • Coordinate training programmes, employee engagement activities and learning initiatives.
  • Administer work permits, employment passes and immigration matters where applicable.
  • Ensure compliance with Malaysian employment legislation and company policies.
  • Prepare HR reports, headcount reports and other HR metrics for management.

Southeast Asia HR Operations (Secondary Responsibility)

  • Support HR operational activities across Singapore, Thailand and the Philippines as assigned.
  • Assist in regional HR reporting, documentation and data consolidation.
  • Participate in regional HR projects, including standardisation and policy harmonisation.
  • Coordinate regional HR communications, employee engagement initiatives and training programmes.
  • Work closely with regional HR colleagues to ensure consistent HR practices across Southeast Asia.
  • Support audits, compliance activities and continuous improvement initiatives across the region.

Qualifications & Experience

  • Diploma or Bachelor's Degree in Human Resources, Business Administration or a related discipline.
  • Minimum 3–5 years of HR generalist experience, preferably in a multinational manufacturing environment.
  • Hands-on experience in payroll administration and employee lifecycle management.
  • Sound knowledge of Malaysian employment legislation and statutory requirements.
  • Exposure to regional HR operations is an advantage.
  • Experience using HRIS such as SAP SuccessFactors
  • Proficient in Microsoft Excel, Word and PowerPoint.
