Job Description

We're looking for a detail-oriented and proactive HR & Admin Executive to join our Shared Services team. This position plays a critical role in supporting Human Resources and Administrative operations, ensuring efficient processes and an exceptional employee experience.

What You'll Do

Human Resources (50%)

  • Coordinate employee engagement activities with the PEC Committee and manage logistics for on-site and regional events.
  • Drive awareness and participation in the Employee Assistance Program (EAP) and wellbeing initiatives.
  • Maintain accurate and up-to-date employee information in Workday and HR records.
  • Support end-to-end recruitment administration, including job postings, interview coordination, and onboarding activities.
  • Organise monthly Lunch and Learn sessions and manage HRDF grant claims for training and team development programs.
  • Maintain and update the VCSS Community SharePoint site and monthly internal communications.
  • Liaise with statutory bodies to ensure full compliance with Malaysian labour laws and HR reporting requirements.
  • Administration (50%)

    • Oversee daily office administration, including travel arrangements, meeting coordination, supplies management, and vendor engagement.
    • Manage attendance and conduct quarterly Report to Office compliance audits.
    • Handle incoming and outgoing mail, courier services, and external calls with professionalism.
    • Coordinate with building management on access cards, maintenance, parking, and vendor work permits.
    • Liaise with government agencies on administrative licensing, permits, and compliance documentation.

    What You Bring

    • Diploma or Degree in Human Resources, Business Administration, or a related field.
    • 34 years of experience in HR and administrative support, ideally within a corporate or shared services environment.
    • Strong organisational and multitasking skills, with a high attention to detail.
    • Proficient in Microsoft Office and SharePoint; experience with Workday or ADP is an advantage.
    • Excellent communication and interpersonal skills, with the ability to work independently and cross-functionally.
