To support our continued expansion, we're currently on the lookout for a proactive, detail-oriented HR/Office Administrator to join our team and serve as the operational backbone of our Kuala Lumpur office.

As our HR/Office Manager, you will be responsible for managing the end-to-end statutory compliance for all employees (from onboarding to offboarding), ensuring the seamless and timely execution of monthly operational payments and facility management.

Key Responsibilities:

Statutory Compliance & HR Administration:

  • Regulatory Ownership: Lead all Company Secretary liaison and statutory filings, ensuring 100% compliance with EPF, PERKESO (SOCSO/EIS), and LHDN (PCB) for all new hires, existing staff, and leavers.
  • Business Licensing: Proactively manage Office Permit renewals and all relevant regulatory filings to ensure uninterrupted and legal business operations.
  • Data Integrity: Maintain meticulous employee records and historical data, providing accurate insights for recruitment reporting and internal audits.

Financial Coordination & Payment Workflow:

  • Reporting & Preparation: Consolidate monthly contribution schedules and detailed billing reports, covering staff costing, utilities, and rental obligations.
  • Stakeholder Liaison: Coordinate directly with the Associate Director for initial payment processing and financial alignment.
  • Authorization Management: Drive the payment approval lifecycle, routing all disbursements for final authorization by the leadership team.
  • Audit & Verification: Rigorously track payment statuses to ensure zero late-payment penalties and maintain a perfect credit standing with all vendors and authorities.

Office & Facilities Management:

  • Vendor Relations: Act as the primary point of contact for office service providers, including cleaning staff, ensuring high standards of maintenance and timely wage processing.
  • Workspace Strategy: Oversee office aesthetics and functionality, managing everything from interior decorations and plant maintenance to the logistics of office expansions or relocations.
  • Inventory & Procurement: Optimize the office environment by managing inventory for stationery, pantry supplies (snacks/beverages), and essential cleaning tools.

Education and Requirements:

  • Qualifications: Bachelor's Degree in Human Resources or an equivalent/proven track record in HR Admin and Office Management within the Malaysian market.
  • Experience: Minimum of 3+ years of equivalent experience in HR Administration within the Malaysian market.
  • Regulatory Knowledge: Strong understanding of local labour laws and statutory requirements (EPF, SOCSO, LHDN).
  • Precision: High attention to detail regarding financial reporting and compliance deadlines.
  • Self-Management: A self-starter who can manage office logistics and vendor relationships with minimal supervision.
  • Communication: Strong interpersonal skills to navigate workflows between junior staff, vendors, and executive leadership.
