Role Overview:
We are looking for a proactive and detail-oriented Project Coordinator to support the rollout, adoption, and continuous improvement of internal systems, including Keystone AI, Spott, Ringover, and related platforms.
This role sits at the intersection of business, technology, and operations—ensuring seamless execution, strong user adoption, and effective communication across stakeholders.
Key Responsibilities:
Project Coordination & Tracking:
- Track progress of ongoing projects, including tasks, timelines, risks, issues, and next steps
- Ensure consistent follow-up with stakeholders to drive timely execution
- Maintain visibility of project status and flag potential delays or bottlenecks
System Adoption & Training:
- Support user onboarding and training for Keystone AI, Spott, Ringover, and other internal tools
- Assist in rolling out new features, workflows, and system updates
- Drive adoption across consultants, managers, and operations teams
Documentation& Knowledge Management:
- Develop and maintain user guides, SOPs, FAQs, and training materials
- Create clear workflow documentation for business users
- Ensure documentation is kept up-to-date and easily accessible
Testing & User Experience:
- Conduct system and workflow testing from an end-user perspective
- Identify usability issues, bugs, and inconsistencies across platforms
- Work closely with teams to ensure systems function effectively
Feedback & Continuous Improvement:
- Collect and consolidate user feedback, enhancement requests, and issues
- Track and follow up on open items until resolution
- Recommend improvements to workflows, tools, and user experience
Stakeholder Management:
- Liaise with product, technology, vendors, and operations teams
- Communicate issues, updates, and improvement opportunities clearly
- Prepare meeting notes, project updates, and status reports for management
Requirements
- Strong AI literacy is essential, with hands-on experience using tools such as ChatGPT, Claude, Gemini, Perplexity, or similar
- Comfortable working with SaaS platforms, AI tools, CRM/ATS systems, and workflow tools
- Strong follow-up skills, attention to detail, and sense of ownership
- Excellent communication skills with confidence in engaging stakeholders
- Ability to explain system workflows clearly to non-technical users
- Strong documentation skills (SOPs, guides, process flows)
- Organized, proactive, and able to manage multiple priorities independently
- Strong written and spoken English as interacting with members globally
- Exposure to project coordination, operations, or product support
- Experience in user training, business analysis, or system implementation
- Background in recruitment, HR tech, or SaaS environments
