Job Description

Job Summary

We are seeking a Project Coordinator to support our project management team by handling administrative tasks, coordinating resources, and facilitating clear communication between stakeholders. This role is integral to ensuring that projects are completed on time, within budget, and to the highest quality standards. The role will also be required to facilitate a smooth hand over of the project. The ideal candidate is highly organized, proactive, and possesses excellent communication skills.

Key Responsibilities

  • Collaborate with the Project Manager to develop and maintain project management documents such as budgets, schedules, scope statements, and action plans.
  • Break down projects into actionable tasks, assign responsibilities, and establish timelines to ensure each phase of the project is executed efficiently.
  • Oversee scheduling meetings, recording minutes, and organizing essential project-related paperwork. This includes managing financial documents such as invoices, purchase orders, and inventory reports.
  • Assist in the procurement process by ensuring resources and equipment are available when needed, thereby preventing delays in project execution.
  • Maintain up-to-date documentation and generate regular status reports to keep all stakeholders informed on project milestones and performance.
  • Assist in the post project support and handover to ensure business as usual until the relevant parties and processes can run unsupervised.

Requirements:

  • A Bachelors degree in Business, Project Management, or a related field is preferred (or an equivalent mix of education and experience).
  • Prior work experience in project coordination or a similar role is desirable. Familiarity with the methodologies and tools of project management is essential.
  • Proficiency with project management software (such as Microsoft Project, Smartsheet, or similar applications) and the Microsoft Office suite is required.
  • Ability to juggle multiple tasks concurrently while maintaining exceptional attention to detail.
  • Strong written and verbal communication abilities, enabling effective dialogue with internal teams and external clients.
  • Adept at identifying potential risks, analyzing challenges, and formulating solutions in a dynamic project environment.
  • Capacity to quickly adjust to changing priorities and deadlines in a fast-paced workplace.
