Position Overview
We are currently seeking an IP Coordinator to join our Malaysian team. This role is integral to support both daily office operations and IP administration activities. This hybrid role is ideal for someone who prefers the balance of general administrative responsibilities with a focus in IP coordination task.
Responsibilities include (but are not limited to):
- Preparing official documents for submission to Trademark Offices up to registration (e.g., conducting trademark searches, trademark applications, formalities compliance and submission of powers of attorney, reviewing examination reports, renewals).
- Coordinating filings across multiple jurisdictions.
- Monitoring and tracking crucial deadlines.
- Preparing agents/clients correspondence and invoices.
- Filing of documents through Electronic Filing System.
- Assist in daily office operations, including office supplies management, vendor coordination and facility support.
- Manage meeting schedules, correspondences, calls and enquires.
- Maintain organised filling systems and ensure proper documentation.
- Performing general administrative duties to ensure a smooth workflow and operational efficiency.
Knowledge and Experience
- Bachelor's degree in law or equivalent.
- Preferably 3 5 years relevant Trademark work experience.
- Experience using IP2SGm or in a legal secretary/administrative role would be advantageous.
- MS Office with good word processing skills.
- A good team player and be willing to work extra hours, if required.
- Able to work independently, under pressure and deal tactfully with stakeholders.
- Good time management and organisational skills.
- Ability to multi-task and deal with high volumes of work.
- Strong attention to detail and the ability to be flexible.
- Ability to communicate fluently in English (both written & spoken).
