JOB RESPONSIBILITIES:

WHAT YOU WILL DO:

Statutory Compliance & Record Keeping:

  • Maintain and update statutory registers and records for the Group in compliance with applicable laws and regulations.
  • Prepare and file statutory documents with relevant regulatory authorities accurately and on time.
  • Ensure confidentiality and proper management of sensitive corporate documents.
  • Liaise with external secretarial agents where required.

Meeting Coordination:

  • Plan, organise, coordinate, attend and assist, where necessary, at high-level meetings, including Board of Directors meetings and Annual General Meeting. E.g. checking directors and Management's availability, sending calendar invites, ordering refreshment, directors logistics, etc.
  • Compile and distribute meeting papers, agendas, and minutes in a timely manner.

Documentation & Reporting:

  • Draft reports, resolutions, and other corporate documents to support compliance and governance requirements.
  • Assist in preparing annual reports and other regulatory submissions.

Departmental Support:

  • Act as the Department Administrator, supporting operational efficiency and workflow management.
  • Provide administrative and secretarial support to Company Secretaries in discharging their duties.

REQUIREMENTS:

WHO ARE YOU:

Education & Certifications:

  • Ongoing/ currently pursuing diploma or degree in Corporate Governance, Law, or a related field.

Technical Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Soft Skills:

  • Interpersonal skills, with the ability to engage professionally with senior executives and stakeholders.
  • Exceptional planning, organisational, and time-management skills, with a keen sense of urgency to meet deadlines.
  • Mature, pleasant demeanour with a commitment to delivering high-quality, service-oriented work.
  • Ability to handle multiple tasks under pressure while maintaining confidentiality and attention to detail.

Key Competencies:

  • Knowledge of company secretarial practices and corporate governance principles.
  • High level of professionalism and ethical standards.
  • Proactive problem-solving and process improvement mindset.
