1. Contract Lifecycle & Organization
- Conduct comprehensive audits of physical and digital repositories to reconcile missing or lapsed agreements.
- Centralize contract data within the master management system to ensure a single source of truth.
- Map service agreements (e.g., Soft Services, MEP) by category and location for localized oversight.
- Establish and enforce standardized naming protocols to optimize digital retrieval and version control.
2. Data Integrity & Compliance
- Administer the Master Contract Tracker to proactively manage renewals, terminations, and inflationary price adjustments.
- Spearhead the digital transformation project, migrating legacy paper records into a modern Document Management System (DMS).
3. Strategic Operational Support
- Extract and summarize critical contract terms to facilitate Facilities Management performance audits.
- Provide data-driven insights and historical benchmarks to support the Tendering and RFP processes.
- Standardize and refine Scopes of Work (SOW) to ensure operational requirements remain current.
Education/Qualification
Currently pursuing or a recent graduate in Business Administration, Operations Management, Real Estate, or a related field.
Experience:
- Proficiency in Microsoft Office 365 (especially Excel and SharePoint).
- Experienced in developing a simple tracking tool like CMMS is a plus.
- Experienced in building a real-time dashboards for SLA will be preferred.
- Strong analytical skill with ability to read through complex documents and extract key data points.
- High level of attention to detail and a passion for creating efficient systems.
- Professional verbal and written communication skills for interacting with internal stakeholders and external vendors.
- Taking responsibility for work and being able to work diligently on assignments assigned.
- Excellent problem-solving, analytical, and organisational skills.
