Job Description

JOB PURPOSE

The Library intern will undergo an internship program to gain practical experience in a library setting. The intern will support staff in various tasks while learning about library operations, services, and the profession. This includes assisting patrons, organizing materials, participating in programming, providing basic reference assistance to patrons, and developing essential skills for a potential career in librarianship.

AREAS OF RESPONSIBILITIES

  1. Assist with the Information Services operations and duties
  • Assist with Reference Services and Support Assistance
  • Assist with Information Literacy (IL) activities
  • Assist with the Collection Development or Reading List materials
  • Assist with the Promotion and Marketing, and User education activities
  • Assist with the provision of online and print Information Services guides and tutorial materials
  • Assist with the accreditation documentation for submission and visit
  • Assist with administrative duties and perform tasks as assigned by library staff, which may include tasks related to data entry, creating displays, or assisting with special projects

  1. Assist with Information Resources operations and duties
  • Assist with acquisition, subscription, cataloguing, and initial processing of library materials (online and physical)
  • Assist with cataloguing, processing, and performing quality checks on new library materials
  • Assist with the e-repository materials
  • Assist with Information technology-related matters (e.g., Library Management System, Face Recognition, Discussion Room Booking System, Library website).
  • Assist with administrative duties and perform tasks as assigned by library staff, which may include tasks related to data entry, creating displays, or assisting with special projects

  1. Assist with Lending Services operations and duties
  • Provide loans/reserve/multimedia services/requests to students and staff
  • Assist with the accessibility and maintenance of the Library collection
  • Assist with general library support (enquiries) and operational routines (e.g, counter, patrolling, headcount, shelving, holds, etc.)
  • Assist with the Lending Services activities (e.g final reminder, student and staff clearance, lost items, dispute, assets management, graduations, trace request etc.)
  • Assist with the maintenance of library equipment and machines
  • Assist with the physical building maintenance, furniture, and fittings
  • Assist with the request for materials from external institutions for interlibrary loans and document delivery
  • Assist with administrative duties and perform tasks as assigned by library staff, which may include tasks related to data entry, creating displays, or assisting with special projects

  1. Others duties
  • Assist with the campus or library's events, including weekend events
  • Assist with the library tours or briefings for new students, guests, or visitors
  • Participate in meetings and discussions within the Library to contribute suggestions for improvements to the work process
  • Contribute ideas to the future directions and strategies of the Library through participation in discussions and workshops

JOB SPECIFICATIONS

Minimum Qualification

STPM/Diploma/University degree in related disciplines, and recognized in librarianship with basic experience in providing either loans, cataloguing, acquisitions, or serials acquisition in the University Library.

Related Experience

Without or with a minimum year of working experience, with good knowledge and some experience, preferably within an academic library.
