Position Overview

The Invoicing & Admin Executive is responsible for preparing sales documentation, coordinating with internal teams, maintaining accurate records, and supporting stock coordination and general administrative tasks. This role requires strong attention to detail, reliability, and the ability to manage daily documentation efficiently.

Key Responsibilities

Invoicing & Documentation

  • Prepare and issue Sales Orders, Invoices, Delivery Orders, and Kastam K8 & K9 forms.
  • Ensure all sales and delivery documentation is accurate, complete, and properly recorded.
  • Follow up to ensure acknowledged Sales Orders and Delivery Notes are duly returned by customers.

Administration & Record Keeping

  • Prepare, organise, and maintain administrative documents, records, and files in accordance with company practices.
  • Perform daily document sorting and filing to ensure proper record management.

Coordination & Stock Support

  • Coordinate with Sales and Warehouse teams to ensure smooth order processing and delivery.
  • Assist in stock coordination and support monthly and yearly stock takes.

General Support

  • Assist with daily administrative tasks and perform ad-hoc duties as assigned by senior staff or management.

Requirements

  • Minimum SPM or equivalent qualification in any field.
  • Computer literate with proficiency in Microsoft Word and Excel.
  • Knowledge or experience using Accounting Software (SQL / AutoCount) is an advantage.
  • Able to communicate effectively in Bahasa Malaysia and English.
  • Able to work independently with minimal supervision and as part of a team.
  • Responsible, organised, and possess a positive working attitude.
  • Willing to work in Kota Damansara.
  • Candidates who can start work immediately are preferred.
